What the Project Management Exhibitor Contract Covers

A Project Management Exhibitor Contract is a written agreement between an event organizer or project manager and an exhibitor that defines booth allocation, services, timelines, fees, setup and teardown responsibilities, insurance and indemnity, and acceptance criteria for exhibit materials. It establishes each party's obligations during planning, on-site execution, and post-event reconciliation. The contract can include technical exhibits rules, safety requirements, payment schedules, cancellation terms, intellectual property provisions, confidentiality clauses, and signature blocks for authorized representatives to confirm acceptance.

Why a Clear Contract Benefits Both Organizer and Exhibitor

A concise, enforceable exhibitor contract reduces disputes, clarifies financial obligations, and documents operational responsibilities for both parties. It provides a single source of truth for scheduling, booth specifications, and liability allocation that event staff, vendors, and exhibitors can rely on.

Why a Clear Contract Benefits Both Organizer and Exhibitor

Who Commonly Prepares and Signs This Contract

Project managers, event operations teams, exhibitors' sales or facilities representatives, and third-party exhibit services regularly prepare or complete this contract to confirm participation and obligations.

  • Event operations and project managers responsible for logistics and compliance at trade shows and conferences.
  • Sales or account representatives from exhibiting companies confirming booth assignment, payment, and materials.
  • Third-party contractors (riggers, booth builders) when services are contracted through the exhibitor or organizer.

Clear role definitions in the contract reduce ambiguity and speed approvals across procurement, legal, and on-site operations teams.

Typical Signatories and Their Roles

Event Organizer — Project Manager

The organizer or assigned project manager has authority to allocate booth space, enforce venue rules, approve setup plans, and accept or reject exhibitor materials. This role signs to bind the event entity to the terms covering services, payments, and venue coordination.

Exhibitor — Authorized Representative

A named exhibitor representative (title such as Director of Events or Facilities Manager) signs to accept financial terms, insurance obligations, booth design constraints, and indemnity clauses on behalf of the exhibiting company.
