What the Project Management Game Reformatting Template Is

The Project Management Game Reformatting Template is a structured worksheet used to convert an existing project-management simulation, exercise, or case study into a standardized, repeatable format for training, evaluation, or archival use. It organizes scenario metadata, learning objectives, participant roles and capacities, timeline segments, scoring rules, resource lists, dependencies, and deliverables into clearly labeled fields. The template supports versioning, audit-ready change logs, and attachments so facilitators can iterate on scenarios, compare outcomes across runs, and distribute the reformatted exercise electronically to participants and reviewers.

Why standardize a project management game format

Standardizing the format reduces preparation time, improves consistency of assessment, and simplifies updates and distribution. A single template ensures facilitators capture the same essential information for every run and creates a reusable asset for training, onboarding, and postmortem analysis.

Why standardize a project management game format

Who typically completes this template

Project managers, training facilitators, instructional designers, and learning-and-development leads commonly use this template to prepare and preserve simulation-based learning materials.

  • Corporate trainers and L&D teams responsible for recurring workshops and certification programs.
  • Project managers who convert lessons learned into teachable simulations for cross-team training.
  • Academic instructors and program coordinators who produce repeatable class exercises and grading rubrics.

Use by these groups helps ensure continuity, transparent scoring, and easier handoffs between facilitators or cohorts.

Core sections to include in a professional reformatted game

A complete template balances scenario definition, participant roles, timing, scoring, required artifacts, and revision history so the exercise is repeatable and evaluable.

Scenario Overview

Concise statement of the scenario, objectives, scope, and intended learning outcomes so reviewers immediately understand purpose and context.

Roles & Teams

List of participant roles, expected skills, team composition rules, and any role-specific deliverables or constraints used during the simulation.

Timeline & Phases

Detailed time allocations for each phase, checkpoints, and allowed extensions to enforce consistent pacing across iterations.

Scoring Rules

Clear scoring rubric, point values, tie-breakers, and examples of acceptable versus unacceptable deliverables for objective assessment.

Resources & Inputs

Attachments, data sets, templates, and permitted reference materials required by participants to complete assigned tasks.

Change Log

Version history, editor notes, and rationale for previous changes to support auditability and iterative improvements.

Essential fields to collect on every template

Title: Short descriptive name
Effective Date: MM/DD/YYYY
Author: Name and role
Version: Numeric or semantic tag
Audience: Target learner group
Attachments: Linked files or templates

Step-by-step: Complete the template in one session

Follow a disciplined sequence to ensure accuracy and reduce rework when reformatting a game or simulation.

  • 01
Gather materials: Collect original scenario, past deliverables, and evaluation rubrics.
  • 02
Define objectives: Write measurable learning goals and success criteria.
  • 03
Map timeline: Break the exercise into timed phases and milestones.
  • 04
Publish version: Save versioned copy and note change rationale.

How to set up the online template workflow

Configure a digital workflow that automates distribution, collection, and version control for each template instance.

Field Configuration
Template Locking Enable edit restrictions after publish
Versioning Auto-append version numbers on save
Access Control Role-based permissions for editors and viewers
Notifications Email or in-app alerts for assignments and deadlines

Where to send the completed template

Identify recipients and storage destinations before distribution to streamline routing and recordkeeping.

  • Internal LMS: Upload as a course asset for registered students
  • Project Repository: Store in team document libraries for reuse
  • External Reviewers: Share read-only copies with stakeholders
  • Archival Storage: Retain final versions in records management systems

Delivery channels and technical requirements

Choose distribution channels that match participant access and authentication needs when sending the template.

  • Email Distribution: Simple send-and-receive for small groups
  • LMS Integration: Preferred for enrollments and grading
  • Cloud Storage: Use secure document repositories

Confirm file formats (PDF, DOCX) and integration compatibility with your learning platform, collaboration tools, or document management system before final distribution to avoid format or access issues.

Typical timelines and planning checkpoints

Establish clear deadlines for preparation, participant sign-up, rehearsal, execution, and review to keep iterations on schedule.

Preparation Period:

2–4 weeks for content adaptation and materials assembly

Participant Registration:

1–2 weeks before the session

Facilitator Rehearsal:

3–7 days pre-run for logistics and timing checks

Session Execution:

One or more scheduled days depending on scope

Postmortem Review:

Within 7 business days after the session

Common mistakes to avoid when reformatting a game

  • Skipping a detailed scoring rubric causes inconsistent grading and disputes between facilitators and participants.
  • Failing to version control the template leads to conflicting edits and loss of historical context for improvements.
  • Overloading the scenario with unnecessary data increases cognitive load and reduces participant engagement during the exercise.
  • Neglecting participant access requirements results in distribution delays and missing deliverables on the execution date.

Risks and compliance considerations

Intellectual Property: Unclear IP assignment
Privacy Exposure: Sensitive data shared without safeguards
Record Loss: No archive or backup
Contractual Risk: Misaligned expectations
Audit Gaps: Missing change history
Accessibility: Not WCAG compliant
