What the Project Management Goals and Timetables document is

The Project Management Goals and Timetables document records project objectives, milestone dates, deliverables, roles, and success criteria in a concise schedule. It creates a single reference for tracking progress, assigning responsibility, and measuring completion against scope. Teams use it to align stakeholders on priorities, set baselines for change control, and support audits or postmortem reviews. When signed, the timetable can serve as an agreed project plan amendment, and in the U.S. electronic signatures executed under ESIGN (15 U.S.C. ch. 96) and state UETA statutes are generally recognized.

Why a clear goals and timetables document matters

A formalized goals and timetable clarifies responsibilities, reduces confusion about deadlines, and provides an auditable baseline for changes, disputes, and performance measurement. It supports consistent reporting and improves resource planning across stakeholders.

Why a clear goals and timetables document matters

Who typically prepares and signs this timetable

Project managers, PMO leads, and contracting parties commonly prepare the document to lock in scope and schedule before execution.

  • Project managers and schedulers who coordinate tasks, dependencies, and resource allocation across teams.
  • PMO and executive sponsors who need a single source of truth for reporting and approvals.
  • Contractors, vendors, or subcontractors who must accept milestone dates and deliverable definitions before work begins.

Use it as a communication and governance tool: circulate to all signatories, retain a dated copy, and update via controlled amendments when scope or schedule changes occur.

Core components to include in professional goals and timetable schedules

A complete document balances specificity with flexibility: include measurable goals, clear milestones, dependencies, owners, and acceptance criteria so the schedule is actionable and enforceable.

Objectives

Short, measurable statements of what the project must achieve and the criteria used to determine success.

Milestones

Dated checkpoints for deliverables and approvals that structure the schedule and enable progress reviews.

Dependencies

Relationships between tasks and external inputs that affect sequencing and critical path.

Assigned Owners

Named individuals or teams responsible for each task, including contact details and escalation path.

Acceptance Criteria

Objective conditions and testable outcomes required to mark a deliverable as complete.

Change Control

Process for updating dates, scope, and approvals so amendments remain auditable and agreed.

Step-by-step: preparing and finalizing the timetable

Follow a structured sequence to draft, review, approve, and distribute the goals and timetable to minimize errors and delays.

  • 01
Draft schedule: Compile objectives, tasks, milestones, owners, and preliminary dates.
  • 02
Internal review: Share with core team to validate dependencies and resource assumptions.
  • 03
Stakeholder approval: Circulate to sponsors, vendors, and legal for acceptance and signature.
  • 04
Publish baseline: Record the signed version as baseline and route updates via change control.

Configuring the online workflow for goals and timetables

Set up digital fields and routing once content is finalized to ensure correct signer order and auditability.

Field Configuration
Upload document Add the finalized PDF or DOCX as the signing source.
Add signature fields Place required signature, initial, and date fields for each party.
Authentication Select signer authentication (email, SMS, or stronger options) per security needs.
Routing order Define the signer sequence and enable reminders or expiration settings.

Where to send and file signed timetables

Use clear routing to make sure each stakeholder receives and stores the final signed schedule in the right place.

  • Project Repository: Save the signed baseline to the team’s document management system for version control.
  • Contract Folder: Attach final timetable to the contract or statement of work for legal reference.
  • Stakeholder Distribution: Send copies to sponsors, PMO, and affected teams for operational alignment.
  • Regulatory Filings: If required, submit signed schedules to auditors or regulators per contract terms.

Technical considerations for digital delivery and signing

Choose an eSignature workflow that supports required authentication, audit trails, and file formats.

  • File formats: PDF and DOCX are standard for signable schedules.
  • Integrations: Connectors with systems like NetSuite, Salesforce, and Google Workspace streamline routing.
  • Authentication levels: Use SMS, KBA, or enterprise SSO for higher-assurance signings.

Ensure the chosen platform preserves an audit trail (IP, timestamp, action log) and supports secure storage to meet governance requirements.

Typical timeline elements and critical dates to record

Document key schedule points and review cycles so the team consistently tracks progress and meets contractual obligations.

Kickoff date:

The formal start date when work or reporting begins.

Final delivery date:

The contractual completion or handover date for project closeout.

Key milestones and processing stages

Track sequential stages from planning through sign-off so the critical path is visible and auditable.

Planning stage

Define scope, objectives, deliverables, and initial dates.

02

Validation stage

Confirm dependencies, resource allocation, and risk mitigation plans.

03

Approval stage

Collect sign-offs from sponsors, legal, and vendors on the baseline.
