What the Project Management Granite Steps document is

The Project Management Granite Steps is a structured project plan template that documents the primary phases, approvals, deliverables, and checkpoints for a project. It codifies initiation, planning, execution, monitoring, and closeout activities into a single, reproducible checklist and approval record. The document is intended to standardize decision points, assign responsibilities, and capture sign-offs so stakeholders have a clear record of scope, schedule, budget, and acceptance criteria. It is commonly used alongside contracts, change orders, and status reports and can be completed and retained electronically.

Why the Granite Steps matter for consistent project delivery

A consistent Granite Steps document reduces ambiguity by defining scope, approvals, and responsibilities up front. It improves auditability of decisions, shortens approval cycles, and helps teams demonstrate compliance with internal controls and customer requirements while producing a single authoritative record for later review.

Why the Granite Steps matter for consistent project delivery

Typical users and stakeholders

The Project Management Granite Steps is used by project teams, sponsors, procurement, and compliance stakeholders to coordinate work and approvals.

  • Project managers coordinating tasks, resources, and sign-offs across teams.
  • Project sponsors or clients approving scope, budget, and final acceptance.
  • Procurement, legal, or compliance reviewers verifying contractual or regulatory requirements.

Use it where multiple reviewers or formal approvals are required to deliver a repeatable, auditable process across the project lifecycle.

Roles authorized to complete or sign

Project Manager

The Project Manager typically prepares the Granite Steps, assigns tasks and owners, and collects approvals. They ensure entries reflect current schedule, budget, and risk posture and retain signed copies for project records and audits.

Project Sponsor

The Sponsor or client-level approver confirms scope and acceptance criteria, signs budget or change approvals, and holds final authority for closeout. Their signature documents formal acceptance of deliverables and triggers post-project processes.

Key required fields in the Granite Steps

Project Name: Official project title
Effective Date: MM/DD/YYYY
Scope Summary: One-line scope
Primary Contact: Name and role
Budget Code: Internal ledger code
Approval Signature: Signer name and date

Common pitfalls to avoid

  • Leaving scope fields vague which creates disputes later over deliverables and acceptance criteria.
  • Failing to capture version history or sign-off timestamps, undermining auditability during reviews.
  • Using inconsistent field formats for dates and currency, causing reconciliation errors across systems.
  • Collecting approvals by email without a recorded audit trail, making attribution and timing uncertain.

Where the completed Granite Steps should go

Document routing depends on organizational policy: copies are retained by the project file, sponsor, and compliance or legal teams.

  • Project Repository: Store signed PDF in project folder
  • Sponsor Archive: Sponsor retains a final signed copy
  • Legal/Procurement: Upload to contract management system
  • Compliance: Retain per record-retention policy
