What the Project Management Hotel Study Is and When to Use It

A Project Management Hotel Study is a structured feasibility and planning document used to evaluate the viability, schedule, budget, risks, and delivery approach for a hotel project. It groups market analysis, financial modeling, site and regulatory constraints, construction sequencing, and management responsibilities into a single reference that guides owners, lenders, and development teams through decision points. The study helps quantify costs, timeline assumptions, and expected returns so stakeholders can approve budgets, secure financing, or move to detailed design and permitting phases with documented rationale.

Why a Hotel Study Improves Project Decision-Making

A concise study reduces ambiguity by documenting assumptions, clarifying project scope, and identifying key risks before committing capital. It supports financing discussions and aligns stakeholders on schedule, cost, and performance expectations.

Why a Hotel Study Improves Project Decision-Making

Who Typically Prepares and Uses a Hotel Study

Common users include project sponsors, owners, developers, and their project management offices responsible for delivery oversight.

  • Project Sponsors and Owners: Define investment criteria, review projected returns, and approve funding strategies.
  • Lenders and Investors: Assess cashflow, loan-to-cost, and payback assumptions to support underwriting decisions.
  • Project Managers and Design Teams: Use the study to set baseline schedules, resource plans, and procurement milestones.

The document also informs lenders, equity partners, permitting officials, and construction managers evaluating schedule and financial risk.

Core Sections to Include in a Professional Hotel Study

A complete study presents analysis, assumptions, and deliverables so readers can validate outcomes and proceed with confidence.

Executive Summary

One- to two-page overview summarizing scope, headline costs, expected ROI, major risks, and recommended next steps for decision makers and financiers.

Financial Projections

Detailed pro forma including development budget, operating assumptions, cashflow model, sensitivity scenarios, and debt/equity waterfall.

Project Schedule

Critical-path construction schedule, milestone dates for permitting, procurement lead times, phased occupancy assumptions, and float analysis.

Risk Assessment

Permitting, site, market, and procurement risks, probability-impact scoring, mitigation measures, and contingency budgeting guidance.

Key Milestones in the Hotel Study Lifecycle

A milestone view helps track approvals, financing, and readiness to start construction.

01

Kickoff and Data Collection

Gather baseline site, surveys, and stakeholder input.

02

Analysis and Modeling

Produce market study and cost/schedule models.

03

Stakeholder Review

Circulate drafts for lender and sponsor feedback.

04

Finalization and Sign-off

Incorporate comments and secure authorized approvals.

Common Preparation Errors to Avoid

  • Relying on outdated cost data that underestimates construction inflation and contingency needs.
  • Omitting local regulatory requirements which can delay permitting and increase soft costs unexpectedly.
  • Using inconsistent naming or versions across financial spreadsheets leading to reconciliation failures during underwriting.
  • Failing to document assumptions explicitly, which makes sensitivity analysis and lender review difficult.

Consequences of Incomplete or Incorrect Studies

Budget Overrun: Can trigger change orders
Regulatory Delay: Permitting holds or re-submissions
Financing Withdrawal: Lender may rescind commitment
Contract Disputes: Claims and schedule impacts
Reputational Impact: Investor confidence reduced
Data Exposure: Noncompliance with privacy rules
