Overview: what the Project Management Management Exhibit is

A Project Management Management Exhibit is a contract attachment that defines the project scope, deliverables, schedule, responsibilities, acceptance criteria, and change control procedures for a specific engagement. It formalizes performance expectations, milestone dates, reporting cadence, and roles for contractor and client teams. Exhibits are used alongside master services agreements or construction contracts to provide project-specific details without rewriting core contract terms. Well-drafted exhibits reduce ambiguity, support invoicing and approvals, and provide a reference for dispute resolution and project closeout activities.

Why a clear exhibit matters for project success

A concise Project Management Management Exhibit reduces scope disputes, speeds approvals, and clarifies who is accountable for each deliverable. It creates a single-reference document for the project team, procurement, and auditors while supporting consistent change-order handling and payment schedules.

Why a clear exhibit matters for project success

Who prepares and relies on this exhibit

Typical preparers, approvers, and stakeholders who use the exhibit are listed below.

  • Project managers and PMOs: Draft scope, schedule, and acceptance criteria; coordinate stakeholders and signatory routing.
  • Contract managers and procurement: Verify commercial terms, link payment milestones to deliverables, and manage change orders.
  • Client executives and sponsors: Approve high‑level milestones and acceptance definitions to align expectations and budgets.

Use these roles to assign responsibility for completing, reviewing, and signing the exhibit.

Core components to include in a professional exhibit

A complete exhibit groups six essential sections that together define how the project will be executed, monitored, and accepted by both parties.

Scope Summary

Concise description of in‑scope tasks, exclusions, and measurable outcomes. Use plain language and reference any attached technical specifications or drawings for clarity and enforceability.

Deliverables

Itemize deliverables with unique IDs, acceptance criteria, expected formats, and delivery locations. Tie each deliverable to a payment milestone or review checkpoint to avoid disputes.

Schedule

Provide a milestone schedule with dates, dependencies, and review windows. Include critical path items and specify cure periods for missed milestones and remedies available to the client.

Change Control

Define the formal change request process, required approvals, cost estimation method, and how schedule impacts are assessed and documented to keep scope disciplined.

Acceptance Criteria

Set objective, testable criteria for each deliverable, inspection procedures, and the time allowed for client review and either acceptance or rejection with documented corrective actions.

Roles & Contacts

List roles, delegated authorities, primary contacts, escalation paths, and approval limits so signatories and operational teams know who may approve modifications or certify completion.

Step-by-step: complete the exhibit in order

Follow this sequence to draft, review, and finalize the exhibit with minimal rework.

  • 01
Draft Scope: Define objectives and deliverables clearly.
  • 02
Assign Dates: Set milestone and review deadlines.
  • 03
Review Terms: Have procurement and legal review the exhibit.
  • 04
Execute: Collect signatures and archive the final exhibit.

Configure an online signing workflow for the exhibit

Set up role-based routing, authentication, and reminders when sending the exhibit electronically to reduce bottlenecks.

Field Configuration
Signer Order Sequential or parallel routing as required
Authentication Email link, SMS code, or KBA where warranted
Reminders Automated reminders and escalation cadence
Audit Trail Enable IP, timestamp, and action logging

Where to send and how to submit the exhibit

Identify the correct submission path for approvals, procurement, and project records to ensure traceability.

  • Internal Approval: Route to PMO and procurement for sign‑off.
  • Client Approval: Send to designated client signatory or sponsor.
  • Archival: Store a signed PDF in project repository.
  • Distribution: Share copies with stakeholders and finance.

Digital signing and file-format requirements

Ensure the chosen eSigning platform supports required file types, authentication, and audit logs before sending the exhibit.

  • File Formats: PDF, DOCX, and fillable forms
  • Integrations: Salesforce, NetSuite, Microsoft 365
  • Authentication: Email, SMS, and SSO

Typical timing and processing expectations

Set clear deadlines for draft review, approval, and change requests so parties understand expected turnaround times.

Draft Submission:

Initial exhibit submitted within 10 business days of project award.

Internal Review:

Procurement and legal review within 5 business days of receipt.

Client Review:

Client has 7 business days to accept or request changes.

Change Requests:

Submit change requests within 15 days of discovery.

Final Execution:

Signed exhibit returned within 5 business days after approvals complete.

Key project exhibit milestones

Track these sequential stages from draft through acceptance to keep the project on schedule.

01

Draft Approved

Internal stakeholders sign off on scope and schedule.

02

Client Signoff

Client accepts deliverables and milestone definitions.

03

Baseline Established

Exhibit becomes the project baseline for changes.

04

Final Acceptance

Formal acceptance and release of final payments.

Common preparation mistakes to avoid

  • Vague deliverable descriptions that lack measurable acceptance criteria, leading to disagreements and rework.
  • Unclear change control procedures that allow informal scope expansions without commensurate budget or schedule adjustments.
  • Missing signatories or incorrect authorized names causing execution delays and questions about enforceability.
  • Failure to link payment milestones to accepted deliverables, resulting in invoice disputes and withheld payments.

Potential consequences of an incorrect exhibit

Payment Delay: Invoices may be withheld
Scope Disputes: Increased legal exposure
Contract Breach: Remedies and damages possible
Regulatory Risk: Industry sanctions possible
Audit Findings: Negative procurement audit outcomes
Record Rejection: Unsigned exhibits may be invalid

Essential security and compliance considerations

Practical examples of exhibits in use

These brief examples show how organizations used project exhibits to clarify scope, speed approvals, and maintain compliance.

Martin Properties

A regional real estate firm standardized exhibits to reduce negotiation time by centralizing scope language.

  • They attached property exhibits to leases and construction contracts.
  • As a result, project managers reported fewer scope disputes, clearer milestone acceptance, and faster tenant onboarding across multiple properties.

BIS

An engineering firm used exhibits to define deliverables and acceptance tests for each phase.

  • The exhibit included inspection criteria and payment triggers.
  • Executives noted more consistent handoffs, fewer invoice rejections, and improved project closeout documentation for client audits.
