Budget & Payment

The Client agrees to pay the Service Provider as set forth below. All amounts are in the agreed currency.

Data, Intellectual Property and Confidentiality

The parties agree to the following with respect to data, model artifacts and confidential information created or exchanged in connection with the PoC.

The parties select the ownership approach (check applicable):
Client owns trained models and outputs generated during the PoC.
Service Provider retains ownership of core model code, tooling and pre-existing components while granting license to Client for PoC outputs.
Joint ownership subject to a mutually executed license agreement.

Acceptance Testing & Criteria

Acceptance will be based on the criteria below. The Client will have a defined review period to validate deliverables.

What the Project Management ML PoC Template Is

The Project Management ML PoC Template is a structured Proof of Concept document designed to plan, track, and evaluate a machine learning pilot applied to project management tasks. It captures scope, success criteria, data needs, model evaluation plans, stakeholder roles, and risk controls so teams can make informed go/no-go decisions based on measurable outcomes and reproducible artifacts.

Why use this template for ML project pilots

A consistent PoC template reduces ambiguity, aligns stakeholders, and defines measurable success metrics up front, helping teams judge technical feasibility and business value while documenting assumptions and compliance needs.

Why use this template for ML project pilots

Typical users and contributors

The template is intended for cross-functional teams that run ML pilots and need governance, reproducibility, and clear acceptance criteria.

  • Project managers and program owners responsible for scope, timelines, and resource allocation.
  • Data scientists and ML engineers responsible for model development, data validation, and evaluation.
  • Legal, compliance, and product owners who review data usage, IP, and contractual obligations.

It supports collaboration across technical, operational, and legal stakeholders to ensure the PoC can be assessed, signed off, and archived correctly.

Core sections to include in the PoC

A professional Project Management ML PoC Template groups content into clear sections so reviewers can find scope, data, metrics, and risk controls without reading a long narrative.

Objectives

Concise business and technical objectives that define what success looks like, including target KPIs and acceptance thresholds for the pilot.

Scope

Boundaries for data sources, timeframes, tasks automated, and systems integrated to avoid scope creep during the PoC.

Data Requirements

Detailed list of datasets, fields, sample sizes, anonymization needs, and data access controls required for model training and validation.

Evaluation Plan

Metrics, test sets, statistical significance thresholds, and evaluation cadence used to measure model performance and business impact.

Roles & Responsibilities

RACI-style assignments for data owners, engineers, reviewers, signatories, and operations to ensure clear accountability.

Risks & Controls

Bias assessment, privacy risks, fallback procedures, and remediation steps to mitigate operational, legal, and reputational exposure.

Step-by-step completion checklist

Follow this concise sequence to prepare, execute, and close a Project Management ML PoC with clear handoffs and documentation.

  • 01
Define scope: Document objectives, KPIs, and excluded items.
  • 02
Assemble data: Collect, sanitize, and log dataset provenance.
  • 03
Build model: Train experiments and record parameters and results.
  • 04
Validate & sign: Run evaluations, document findings, obtain approvals.

How to configure an online completion workflow

Configure roles, fields, and routing in your eSignature or document-management system to match the PoC signoff process and preserve an audit trail.

Field Configuration
Template Owner Project Manager
Signer Order Sequential: Data Owner → Legal → Executive
Authentication Email link or SMS code for standard signers
Audit Trail Enable detailed timestamps, IP, and action logs

Where to send the completed template

Route the completed PoC document to designated reviewers and archival systems to ensure compliance and reuse in future projects.

  • Internal Review: Send to stakeholders for technical and business validation.
  • Legal & Compliance: Forward to counsel for data and IP review.
  • Executive Sign-off: Obtain final approval from the authorized executive.
  • Archive: Store final PDF plus audit trail in records repository.

Technical requirements for e-submission and storage

Choose a platform that supports PDF and DOCX formats, audit trails, and integrations with cloud storage and collaboration tools.

  • Integrations: Supports Salesforce, NetSuite, Microsoft 365, Google Workspace, Box and Procore for storage and routing.
  • File formats: Accepts PDF and DOCX; exports signed documents with embedded audit trail.
  • Authentication: Email/SMS OTP and optional advanced signer authentication.

Typical PoC deadlines and timing expectations

Establish clear milestone dates at project start so reviewers know when data must be available and when decisions will be made.

PoC Kickoff Date:

Date when the pilot formally begins and resources are allocated.

Data Freeze Deadline:

Cutoff for available data used for training and testing.

Model Evaluation Window:

Period for validation testing and metric collection.

Stakeholder Review:

Scheduled review meeting for results and feedback.

Final Sign-off:

Date by which approvals and signatures must be obtained.

Key milestones from proposal to closeout

Use a milestone timeline to coordinate cross-functional checkpoints and ensure the PoC stays on schedule and within scope.

01

Proposal Approval

Budget and objectives authorized by stakeholders.

02

Data Preparation Complete

Required datasets ingested and validated.

03

Model Demonstration

Midpoint demo to show initial performance to reviewers.

04

PoC Closeout

Final report, lessons learned, and retention archive.

Common preparation mistakes to avoid

  • Undefined success metrics that make evaluation subjective and delay decision-making.
  • Inadequate data lineage and documentation, causing reproducibility failures during review.
  • Skipping privacy review for datasets that contain PHI or regulated financial information.
  • No clear signatory authority list, which slows approvals and invalidates informal signoffs.

Risks and potential legal consequences

Data privacy breach: Regulatory fines, civil liability.
HIPAA violation: Possible penalties and corrective action (BAA required).
IP ownership dispute: Contractual loss of rights if clauses missing.
Model bias: Reputational and legal risk from discriminatory outcomes.
Inaccurate reporting: Faulty decisions and audit findings.
Missing signatures: Document may be unenforceable.
