What the Project Management Point Work Request Is

A Project Management Point Work Request is a standardized form used to request, authorize, and document discrete, short-duration tasks or scope changes within a larger project. Typical uses include adding a small deliverable, requesting ad hoc technical support, or assigning single-day labor resources. The form captures requester details, task description, estimated hours, priority, cost estimate, required approvals, and scheduling constraints so the project manager and stakeholders can assess impact and route approvals efficiently.

Why this Request Matters for Project Control

Using a formal Point Work Request creates an auditable record of minor scope changes, clarifies accountability, and helps manage budget and schedule impact without overloading change control processes. It supports consistent decision-making and reduces disputes by documenting approvals and estimated effort.

Why this Request Matters for Project Control

Who Prepares and Who Approves These Requests

Project leads, team members, or stakeholders who identify a discrete task prepare the request; project managers and functional managers typically review it before approval.

  • Requesting Team Member: Submits task details, estimated hours, and business justification for review.
  • Project Manager: Reviews scope, schedule impact, and cost; routes for required approvals.
  • Functional Approver: Confirms resource availability and technical acceptance before final authorization.

Clear role separation speeds processing and ensures the request is evaluated for cost, schedule, and quality implications before work begins.

Step-by-Step: Submitting a Point Work Request

Follow these steps to submit a complete request that moves quickly through approvals.

  • 01
Prepare: Complete all required fields and attach supporting files.
  • 02
Estimate: Provide labor and cost estimates with assumptions.
  • 03
Route: Send to project manager and functional approver using the configured workflow.
  • 04
Record: Log approvals, update schedule and budget once authorized.

Core Elements Your Request Should Include

A professional Point Work Request balances brevity with the details needed for sound decisions; include these key elements so approvers can act without follow-up.

Identifier

Unique request number or code that links to project tracking and prevents duplicate entries; use the established project ID schema.

Scope

Concise scope statement that lists specific tasks, boundaries, and measurable acceptance criteria to limit scope creep.

Effort

Estimated hours, role types, and any overtime assumptions so resource managers can validate availability and cost.

Cost

Itemized cost or rate-based estimate including labor, materials, and any pass-through charges for budget alignment.

Priority

Business priority level and required completion date so the project manager can sequence work against other activities.

Approvals

Designated approvers with signature or e-signature fields; include escalation path if primary approver is unavailable.

Common Preparation Errors to Avoid

  • Incomplete task descriptions that require multiple clarifying exchanges and delay work authorization.
  • Using rough or optimistic estimates without documented assumptions, which leads to budget overruns and disputes.
  • Omitting project ID or cost center information, preventing timely allocation of expenses and reporting.
  • Routing to the wrong approver or failing to include required signatures, which stalls processing and creates compliance gaps.

Risks and Consequences of Poor Requests

Budget Overruns: Untracked costs
Schedule Delays: Missed milestones
Audit Findings: Noncompliant records
Billing Disputes: Rework required
Security Exposure: Unauthorized access
Regulatory Risk: Failed retention

Requests follow a predictable routing path from submission to completion; understanding each handoff speeds resolution.

  • Submission: Requester submits form with attachments.
