What the Project Management Poly Renewal Is

The Project Management Poly Renewal is a standardized renewal form used to update an existing project management policy, authorization, or contract exhibit commonly referred to as a "poly" in project portfolios. It documents renewed terms, updated contact and scope details, effective dates, and any amended responsibilities without creating a new master contract. Organizations use it to preserve continuity, record approvals from authorized signatories, and trigger internal routing for change logs and budget adjustments. The form is intended to be retained with the original project file and included in audit trails for compliance and future reference.

Why a Formal Renewal Matters

Using a Project Management Poly Renewal ensures clarity about revised scope, timelines, and authority while preserving an auditable record of consent and changes under applicable contract and records laws.

Why a Formal Renewal Matters

Who Typically Completes This Renewal

Departments and individuals who own project delivery or contract administration usually prepare the renewal and route it for approvals.

  • Project managers and program directors who need to formalize scope or timeline adjustments and document budget impacts internally.
  • Procurement or contract administrators responsible for maintaining the contract file, signature records, and compliance evidence.
  • Legal counsel or in-house contracts teams reviewing language changes, liability allocations, or governing law selections.

Final execution should be by authorized signatories per internal delegation policies so the renewal is legally effective and enforceable.

Stepwise Process to Complete the Renewal

Follow this sequence to prepare, review, and finalize the Project Management Poly Renewal with minimal rework and clear approval traces.

  • 01
Prepare Draft: Populate fields and attach related exhibits for reviewer context.
  • 02
Internal Review: Route to legal, finance, and stakeholders for comments.
  • 03
Finalize Terms: Incorporate changes and confirm the final effective date.
  • 04
Execute: Collect signatures and store a signed copy in the project file.

How to Configure an Online Renewal Workflow

Set up routing and authentication in your eSignature platform to mirror your internal approval order and evidence requirements.

Field Configuration
Routing Order Sequential or parallel, based on authority
Authentication Email link, SMS code, or stronger methods
Attachments Require exhibits to be uploaded before signing
Audit Trail Enable timestamping, IP capture, and download logs

Where to Send and How to Submit the Renewal

The renewal typically flows from project owner to legal and finance, then to authorized signatories; choose a single filing destination for the signed original.

  • Internal Routing: Send to legal and finance for approval before execution.
  • External Parties: Provide signed copies to vendors or partners for their records.
  • Central Repository: Store executed version in the project document management system.
  • Record Retention: Keep as part of the master contract file and audit trail.

Digital Signing and Distribution Essentials

Ensure your eSignature platform supports necessary authentication, audit trails, and the file formats you use.

  • Supported Formats: PDF, DOCX, and PDF/A for archival
  • Integrations: Connect with NetSuite, Salesforce, Google Workspace
  • Security: Enable TLS and AES-256 encryption

Confirm the platform captures signer attribution and stores a tamper-evident copy with an audit trail to meet recordkeeping requirements.
