Overview of the Project Management Project Elevate Template

The Project Management Project Elevate Template is a structured project agreement and execution plan designed to capture scope, deliverables, timelines, roles, acceptance criteria, and basic commercial terms. It consolidates project governance items such as milestones, change control, risk log, communication plan, and signatory blocks into a single, reusable document that teams can adapt for discrete projects. Organizations use it to standardize how projects are approved, tracked, and closed while maintaining a consistent audit trail for approvals and amendments.

Why standardizing with this template matters

A consistent template reduces ambiguity about scope and responsibilities, shortens review cycles, and creates auditable records for approvals. Using a single format ensures essential legal and operational elements are not omitted, and supports clear handoffs between project phases.

Why standardizing with this template matters

Who typically completes the Project Elevate Template

Project managers, program offices, contracting officers, and internal legal or procurement teams commonly prepare this template when initiating medium to large projects.

  • Project Manager — Prepares scope, schedule, resource plan, and obtains stakeholder approvals; coordinates signature routing.
  • Procurement/Contracts — Reviews commercial terms, payment milestones, and risk allocation for compliance and vendor selection.
  • Legal/Compliance — Validates governing law, indemnities, confidentiality, and any industry-specific regulatory clauses.

Responsibility for final sign-off usually rests with an authorized project sponsor or contracting officer and should be reflected in the signature block.

Core components to include for a professional Project Elevate Template

A complete template balances operational detail with clear legal terms. Include defined deliverables, success criteria, milestones with dates, payment schedule, change control, acceptance testing, roles and responsibilities, reporting cadence, and signatures.

Scope

Concise description of included work, out-of-scope items, and key deliverables to avoid scope creep and disputes.

Schedule

Milestones with target dates and dependencies; include change-control steps for schedule adjustments.

Acceptance

Clear acceptance criteria, test procedures, and sign-off process to define when deliverables are considered complete.

Payments

Payment triggers tied to milestones or deliverables with invoicing instructions and acceptable supporting documentation.

Change Control

Formal process for proposing, approving, and documenting changes including required approvals and cost/time impact assessments.

Signatures

Designated signatory lines with printed name, title, date, and any required witness or notary blocks for authentication.

Step-by-step: Filling out the template from draft to signature

Follow these sequential steps to prepare, review, and execute the Project Elevate Template with minimal rework.

  • 01
Draft: Populate scope, milestones, deliverables, and payment schedule.
  • 02
Internal Review: Circulate to stakeholders for technical and contractual comments.
  • 03
Legal Review: Have legal validate indemnities, IP, confidentiality, and governing law.
  • 04
Execute: Finalize signatures, retain executed copy, and distribute to stakeholders.

Configure the online workflow for approvals and eSignatures

Set the digital routing and field rules to match your internal approval order and authentication needs before sending for signatures.

Field Configuration
Signer Order Sequential or parallel routing based on approval hierarchy
Authentication Email link, SMS code, or higher-assurance methods as required
Conditional Fields Show or hide fields based on role or answers to prior questions
Notifications Set reminders and escalation rules for overdue signatures

Where to send and how the signed template is distributed

Define primary recipients and storage destinations to ensure the executed document is available to project teams and auditors.

  • Primary Recipient: Project sponsor or contract manager receives final executed copy.
  • Contract Repository: Store the signed PDF in your contract management system or shared secure storage.
  • Project Team: Notify assigned stakeholders and attach to project management tool for reference.
  • Audit Trail: Preserve execution metadata and certificate with the signed document.

Technical considerations for digital execution and eSubmission

Review platform capabilities and file formats before sending the template for electronic signatures.

  • File Types: PDF, DOCX supported
  • Integrations: Salesforce, NetSuite, Microsoft 365
  • Authentication: Email, SMS, or advanced methods

Confirm the chosen eSignature provider supports required integrations, authentication levels, and secure storage so executed agreements are retained with an auditable trail.

Key dates and common scheduling deadlines

Track submission, approval, and milestone dates to maintain project momentum and meet contractual notice requirements.

Effective Date:

Date the agreement begins; set in the Effective Date field

Milestone Dates:

Target dates for each deliverable; include contingency windows

Invoice Due Dates:

Payment windows such as Net 30 or Net 45 tied to milestone acceptance

Change Notice Windows:

Deadlines to submit change requests for next review cycle

Retention Triggers:

Dates that start post-termination retention clocks

Milestone sequence from kickoff to closeout

Sequential view of major stages helps align approvals and acceptance activities across teams.

01

Kickoff

Initiate project, confirm scope and stakeholders.

02

Execution

Perform work and deliver interim milestones.

03

Acceptance

Test and approve deliverables per criteria.

04

Closeout

Finalize payments, archive documents, and release resources.

Common mistakes to avoid when preparing the template

  • Vague deliverable descriptions that leave scope open to interpretation and lead to disputes during acceptance.
  • Missing approval order or outdated approver contact information, resulting in delayed execution and approval bottlenecks.
  • Failure to link payment milestones to clear acceptance criteria, causing payment disputes and withheld invoices.
  • Not preserving the execution audit trail or certificate of completion, reducing evidentiary value in audits or disputes.

Penalties and legal risks from incorrect or incomplete templates

Contract Disputes: Ambiguous terms increase litigation and arbitration exposure.
Payment Delays: Unclear invoicing triggers can delay receivables or trigger penalties.
Regulatory Noncompliance: Missing industry provisions (e.g., HIPAA) may create civil liability.
Invalid Signatures: Improper authentication can render electronic signatures unenforceable.
Recordkeeping Failures: Insufficient retention risks regulatory fines and audit findings.
Unauthorized Signatory: Signatures by non-authorized persons can invalidate contract obligations.

Real-world examples of using the template

Two customer examples illustrate practical uses of a standardized project template combined with electronic signatures.

Optica Ventures (COO)

Optica standardized project agreements across their portfolio to reduce variation and review time.

  • They used the template for repeatable vendor onboarding.
  • The resulting uniform approach simplified stakeholder reviews and made executed records easy to find during audits, reducing turnaround on approvals company-wide.

Martin Properties (Founder)

Martin Properties applied the template for site improvement projects and tenant fit-outs.

  • The team executed documents remotely and preserved a complete audit trail.
  • Using a single template ensured consistent acceptance criteria and payment milestones, which improved vendor compliance and project closeout speed.

Practical tips for accurate and efficient completion

Adopt these best practices to reduce rework and improve enforceability when using the Project Elevate Template.

Use clear, measurable deliverables
