Common mistakes to avoid when preparing a transformer

  • Incomplete line items lacking SKU, unit of measure, or delivery date create fulfillment ambiguity and delay vendor shipping or cause partial shipments and disputes.
  • Incorrect tax or TIN information can trigger backup withholding, incorrect 1099 reporting, and extended reconciliations between procurement and tax teams.
  • Missing or unclear approval routing results in stalled POs, unauthorized purchases, and noncompliant spending that breaches internal controls.
  • Not capturing change-order approvals or updated schedules on the PO leads to scope creep, invoice disputes, and payment withholding.

Penalties and risks of incorrect or incomplete POs

Payment Delays: Delayed vendor payment and lost discounts.
Invoice Rejection: Invoices returned for correction.
Backup Withholding: 24% withholding possible for wrong TIN (IRC rules).
Contract Disputes: Potential breach claims and remediation costs.
Audit Exposure: Incomplete records increase audit risk.
Statutory Penalties: Tax filing fines up to $330+ per form.
