What the Project Management Redesign Template Is

The Project Management Redesign Template is a structured document for planning, approving, and tracking a formal redesign initiative. It captures scope, objectives, deliverables, timeline, budget, stakeholders, success criteria, and approval checkpoints to create a single authoritative plan that aligns sponsors, project teams, and external reviewers.

Why a Standardized Redesign Template Matters

A consistent template reduces ambiguity, ensures approvals are documented, and speeds stakeholder alignment. It also standardizes data capture to aid auditability and repeatable execution across projects.

Why a Standardized Redesign Template Matters

Who Typically Completes This Template

Project managers, PMO staff, and business sponsors commonly prepare the Project Management Redesign Template before stakeholder review.

  • Project Manager — Prepares scope, schedule, and resource estimates and coordinates stakeholder input for approval.
  • PMO Director — Reviews alignment with portfolio priorities, validates benefits, and confirms governance and reporting requirements.
  • External Consultant — Provides technical assessments, implementation options, and estimated work breakdown for vendor-led activities.

The completed template is shared with stakeholders, procurement, IT, and any approvers identified in the governance section.

Step-by-step: Completing the Redesign Template

Follow these steps in order to produce a clear, approvable redesign plan and minimize rework during review cycles.

  • 01
Gather inputs: Collect scope documents, budgets, and stakeholder names.
  • 02
Draft scope: Write a concise scope summary and exclusions.
  • 03
Detail timeline: Add milestones, dependencies, and estimated durations.
  • 04
Obtain approvals: Route to sponsors and legal for signature and record.

Where to Send and How the Document Flows

A typical routing sequence ensures stakeholders receive the template for review and approval in the correct order.

  • Initial Upload: Store in central repository and assign owner.
  • Stakeholder Review: Circulate to reviewers using tracked comments.
  • Approval Routing: Send to sponsor and legal for final sign-off.
  • Record Retention: Archive the final signed version in records management.

How to Configure an Online Approval Workflow

Set up these core settings when you configure a digital workflow for the template to ensure correct routing and authentication.

Field Configuration
Template Name Use a descriptive name reflecting project and year.
Signer Order Define sequential or parallel routing per governance.
Conditional Fields Show fields only when specific options are selected.
Notifications Set reminder cadence and escalation rules.

Technical Requirements for Digital Completion

Confirm platform integrations and file-format support before starting online completion.

  • Integrations: Salesforce, NetSuite, Google Workspace supported
  • File Formats: PDF, DOCX, and XLSX import/export available
  • Security: TLS in transit, AES-256 at rest

Core Sections to Include in a Professional Redesign Template

A comprehensive template collects governance, scope, schedule, costs, risks, and sign-off details so stakeholders can make an informed decision.

Common Preparation Mistakes to Avoid

  • Unclear scope that mixes deliverables with desired outcomes, causing scope creep and approval delays.
  • Incomplete budget estimates that omit vendor onboarding, training, or migration costs, leading to funding shortfalls.
  • Missing approver names or ambiguous authority, which creates rework and unsigned final documents.
  • Using different project names or versioning conventions across documents, producing recordkeeping and retrieval errors.

Security and Compliance Considerations

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Detailed event log and timestamps
Regulatory: ESIGN and UETA compliance
Healthcare: HIPAA support with BAA available
Quality: SOC 2 Type II certification
Standards: ISO 27001 and WCAG 2.0 AA

Risks and Potential Consequences of Errors

Approval Delay: Project start date slips
Budget Overrun: Additional unplanned costs
Invalid Authorization: Signatures challenged later
Contract Disputes: Scope ambiguity leads to claims
Regulatory Exposure: HIPAA breach risk for PHI
Recordkeeping Gaps: Audit deficiencies and fines
