What the Project Management Salesforce Enhancement Document Is

The Project Management Salesforce Enhancement is a structured request and authorization record used to propose, approve, and track changes to Salesforce configurations, custom objects, workflows, or integrations that affect project management processes. It captures scope, business rationale, technical requirements, priority, dependencies, and acceptance criteria so stakeholders have a single reference from request through deployment and validation. The form supports auditability and traceability for change control and aligns Salesforce updates with project timelines and governance controls.

Why a Formal Enhancement Request Matters

A documented enhancement request reduces implementation risk by clarifying scope, approval authority, and testing requirements before changes are pushed to production. It helps align IT, project managers, and business owners on outcomes, timelines, and rollback plans.

Why a Formal Enhancement Request Matters

Who Typically Submits and Reviews These Enhancement Requests

Project managers, Salesforce administrators, product owners, and business analysts commonly initiate and confirm enhancement requests for project management workflows.

  • Project Manager — initiates requests, defines business objectives and timeline constraints.
  • Salesforce Administrator — assesses technical feasibility, estimates effort, and schedules work.
  • Product Owner / Stakeholder — approves scope, acceptance criteria, and priority.

Using the right roles for submission and review reduces rework, ensures correct prioritization, and supports compliant change management.

Key Signatories and Their Responsibilities

Project Manager

Responsible for documenting the business need, scheduling the enhancement into the project plan, coordinating UAT, and confirming acceptance criteria are met before production deployment. The PM is accountable for change communication across stakeholders.

Salesforce Administrator

Validates technical requirements, provides an implementation estimate, proposes rollback steps, and executes the change following the approved change window and configuration management procedures.

Core Elements Every Professional Enhancement Request Should Include

A complete enhancement request standardizes how changes are proposed, reviewed, and executed to reduce ambiguity and speed approvals.

Change Summary

One-sentence description of the change and affected Salesforce objects, pages, or reports, so reviewers can quickly understand scope.

Business Justification

Clear statement of business value, metrics to improve, or regulatory reason for the change to prioritize against other work.

Technical Requirements

Detailed fields, automation, Apex or Flow behavior, data migration steps, and API changes required for implementation.

Acceptance Criteria

Specific, testable conditions that must be met for the enhancement to be accepted in user acceptance testing and production.

Impact Analysis

Risks, dependencies, estimated downtime, and rollback plan that inform scheduling and approvals.

Approvals & Timeline

Named approvers, approval dates, target completion date, and any required gated checkpoints for release.

Step-by-Step: Submitting and Processing an Enhancement Request

Follow these steps to ensure a request is complete, reviewed, and scheduled with minimal rework.

  • 01
Prepare Request: Draft scope, acceptance criteria, and impacted records.
  • 02
Technical Review: Salesforce admin assesses feasibility and effort.
  • 03
Approval: Named approvers sign off and set the deployment window.
  • 04
Deploy & Verify: Execute in sandbox, run UAT, then deploy to production with rollback ready.

How the Enhancement Flows from Request to Production

This condensed workflow shows the typical path for a Salesforce enhancement tied to project management processes.

  • Submission: Requester completes the enhancement form and attaches relevant screenshots or exports.
  • Triage: Project manager and admin classify priority and schedule.
  • Development: Admin or developer implements the change in a sandbox environment.
  • Validation: Business users execute acceptance tests and confirm criteria are met.

Typical Digital Workflow Settings for Online Completion

Set up the enhancement request form in your document or eSignature platform with these fields and behaviors.

Field Configuration
Project Name Required text field, auto-populate from project list
Salesforce Record ID Required, validate pattern 15|18 chars
Attachments Allow PDF, PNG, CSV up to 10 MB
Approvals Role-based routing to PM and Salesforce admin

Platform and Integration Requirements

Ensure the eSubmission platform supports the integrations and file formats used in your Salesforce change control process.

  • Integrations: Salesforce, Google Drive, NetSuite, Box supported for attachments and audit trail.
  • File Types: Accepts PDF, DOCX, and CSV exports for data mapping.
  • Authentication: Supports SSO/SAML, email links, and optional SMS authentication for higher assurance.

Confirm the platform meets security, auditability, and integration needs before accepting automated submissions into change management.

Common Deadlines and Scheduling Considerations

Plan timelines carefully to allow technical review, sandbox testing, user acceptance testing (UAT), and deployment windows that minimize business disruption.

Request to Triage:

1–3 business days depending on backlog

Technical Estimate:

2–7 business days, varies with complexity

Sandbox Development:

1–4 weeks for moderate changes

UAT Period:

3–10 business days to complete testing

Production Deployment:

Scheduled in approved release windows

Key Milestones from Request to Final Acceptance

Numbered milestones help teams coordinate resources and monitor progress through each project stage.

01

1. Request Submitted

Requester completes form and provides all attachments for triage.

02

2. Triage Complete

PM and admin set priority, scope, and target release.

03

3. Development & Testing

Changes implemented in sandbox and unit tested by developer.

04

4. UAT & Acceptance

Business users validate and sign off before production release.

Common Preparation Errors to Avoid

  • Incomplete acceptance criteria that delay UAT and approvals.
  • Missing Salesforce record IDs that route work to the wrong records.
  • Vague business justification making prioritization inconsistent.
  • No rollback or data migration plan for changes affecting live data.

Risks and Consequences of Poorly Managed Enhancements

Data Loss: Configuration errors can corrupt records or cause data integrity issues.
Downtime: Unplanned production changes may interrupt business operations.
Compliance Exposure: Unauthorized changes can violate internal controls and audit requirements.
Increased Costs: Rework and emergency fixes raise total implementation expense.
Missed Deadlines: Inadequate planning can delay program milestones and deliverables.
Stakeholder Friction: Lack of communication undermines confidence and adoption.

Security and Compliance Elements to Include

Authentication: SAML/SSO required
Encryption: TLS 1.2/1.3 in transit
Data at Rest: AES-256 encryption
Audit Trail: Immutable event log
HIPAA: BAA if PHI involved
Retention: Configured per policy
