What the Project Management Salesforce Move Is

A Project Management Salesforce Move is a formal migration plan and signable agreement that documents the transfer of project management processes, data mappings, and approvals into a Salesforce environment. It bundles scope, data mapping, role assignments, acceptance criteria, security controls, and a timeline so stakeholders have a single reference for responsibilities and milestones during cutover and verification phases. The package may be signed electronically and paired with attachments such as field-mapping tables, test plans, and rollback procedures to preserve evidence of consent and operational readiness.

Why a Formal Move Document Matters

A written move record clarifies responsibilities, reduces scope creep, and creates an auditable trail for compliance and post-migration dispute resolution. It helps teams coordinate data handoffs, testing, and go-live checks while preserving legally admissible consent when executed electronically.

Why a Formal Move Document Matters

Teams and Roles That Typically Use This Move Package

Stakeholders across IT, project management, and business operations use the Salesforce Move package when migrating project processes into Salesforce.

  • Project Managers and PMO leads coordinating scope, schedule, and sign-off responsibilities.
  • Salesforce Administrators and System Integrators mapping objects, fields, and automation rules.
  • Business Unit Owners and Compliance Officers approving data flows and acceptance criteria.

The document aligns technical and business reviewers, ensuring signatory authority and handover steps are documented before go-live.

Core Components of a Professional Move Package

A compact, professional move package contains six core components that together define scope, controls, and acceptance checkpoints for a successful Salesforce migration.

Scope Statement

Defines included projects, excluded items, deliverables, and measurable success criteria so stakeholders share a common understanding of what the migration covers.

Data Mapping

Documents field-to-field mappings, transformation rules, and lookup relationships; critical for maintaining data integrity during extract, transform, and load operations.

Roles Matrix

Identifies project roles, authorized approvers, and their contact details so signatory authority and escalation channels are clear during cutover.

Acceptance Criteria

Lists pass/fail conditions for testing, sample record checks, and performance thresholds required before production release and final sign-off.

Security & Compliance

Specifies access controls, encryption, any HIPAA or financial requirements, and whether a BAA or additional addendum is attached for protected data.

Rollback Plan

Provides a documented fallback sequence, data restore points, and responsibilities to reduce downtime and liability if post-migration issues occur.

Step-by-Step: Completing and Executing the Move Document

Follow these sequential actions to complete the move document, validate content, and gather required approvals before migration.

  • 01
Draft: Assemble scope, mappings, test cases, and roles in a single document for review.
  • 02
Review: Circulate to technical and business stakeholders for comments and required adjustments.
  • 03
Authorize: Collect required signatures from authorized approvers using an eSignature platform.
  • 04
Execute: Proceed with migration after acceptance criteria are met and signed off by named approvers.

How to Configure an Online Signing Workflow

Configure the workflow to match your project controls and required signer authentication.

Field Configuration
Authentication Method Email link plus optional SMS code for stronger signer identity
Signing Order Sequential routing: Migration Owner → IT Lead → Business Owner
Attachments Attach mapping spreadsheets, test plans, and screenshots as supporting exhibits
Audit Trail Enable full event logging with timestamps and IP addresses

Where to Send, Sign, and Store the Move Document

Define clear destinations for signing, storage, and operational records to ensure compliance and traceability.

  • Send for Signature: Use the configured eSignature workflow to route to named signers in order.
  • Signed Distribution: Automatically send the final PDF and certificate of completion to stakeholders and archive locations.
  • Store Master Copy: Retain an executed copy in a secure enterprise repository with restricted access.
  • Attach to Project: Link the signed document to the Salesforce project record and ticketing system.

Technical and Integration Considerations

Choose a signing platform that supports Salesforce integration, secure storage, and required authentication.

  • Integrations: Salesforce, Google Drive, Box, NetSuite
  • File Formats: PDF, DOCX supported
  • Auth & Security: TLS, AES-256, SSO support

Ensure the platform you select aligns with your IT security policies and preserves an immutable audit trail for audit and compliance.

Security and Compliance Checklist

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Timestamped events, IP, and action log
HIPAA: BAA required for PHI workflows
21 CFR Part 11: Support for FDA-regulated records
SOC 2: SOC 2 Type II certification available
Accessibility: WCAG 2.0 Level AA compliance

eSignature Vendor Comparison — Pricing & Key Limits

Typical Timelines and Processing Expectations

Set clear interim deadlines for mapping, testing, and sign-off to avoid last-minute scope changes and compliance gaps.

Project Kickoff:

Immediate on approval; schedule stakeholder review within 3 business days

Data Mapping Complete:

1–3 weeks depending on scope and record volume

Testing Window:

2–4 weeks for sample validation and performance checks

Go-Live Approval:

Sign-off after acceptance criteria pass and stakeholders approve

Post-Migration Review:

1–2 weeks for remediation and final documentation updates

Common Preparation Pitfalls to Avoid

  • Incomplete field mappings that cause data loss or orphaned records during import, requiring time-consuming fixes.
  • Using incorrect Salesforce Org ID or environment details, which can lead to deploying to the wrong instance.
  • Failing to define measurable acceptance criteria, resulting in disputed go-live approvals and scope creep.
  • Skipping signer identity checks for sensitive data, which can undermine enforceability and compliance obligations.

Risks and Legal Consequences of an Incomplete or Incorrect Move

Data Loss: Operational disruption and potential liability
Invalid Signatures: Legal challenge to contract enforceability
HIPAA Breach: Regulatory fines and BAA exposure
Regulatory Noncompliance: Audit penalties and remediation costs
Service Downtime: Revenue impact and SLA breaches
Contract Disputes: Costly dispute resolution and delays

Practical Tips for Accurate, Efficient Completion

Adopt consistent conventions and small checks that materially reduce errors during the move process.

Standardize Field Names
Use consistent naming across source systems and Salesforce. A single canonical field list reduces mapping errors and simplifies troubleshooting during ETL.
Pre-flight Testing
Run a dry-run migration on a sandbox with representative data. Confirm acceptance tests against defined criteria before scheduling production cutover.
Use Role-Based Signatures
Assign signature authority to job titles rather than individuals where appropriate to avoid delays when signers are unavailable.
Preserve Audit Evidence
Capture signed PDFs, certificates of completion, and related attachments in a secure repository to support compliance and future audits.

Real-World Move Examples

Short examples show how organizations structure move documentation and approvals in practice.

Optica Ventures — Migration

Optica consolidated multiple project trackers into one Salesforce plan to reduce fragmentation.

  • They used a single signed acceptance checklist for each project.
  • The documented approach minimized post-migration defects and gave stakeholders a clear recovery path when edge-case records failed validation.

Xerox — Integration

Xerox tied signed move documents to NetSuite and Salesforce integration tickets.

  • The signature package included field mapping attachments.
  • This ensured finance and operations approved mappings before data sync, reducing reconciliation time after cutover.
