Purpose and scope of the Project Management Servicing RAMS Template

The Project Management Servicing RAMS Template is a standardized form used to document Risk Assessments and Method Statements (RAMS) for servicing, maintenance, and small-scale project works. It captures project scope, hazards, control measures, personnel responsibilities, equipment lists, and site access arrangements to support safe execution and regulatory compliance. The template structures sign-off points, permit checks, and records required for audits, insurance, and contractual obligations. Used consistently, it helps teams plan safe work sequences, communicate controls to subcontractors, and retain an auditable record of who approved each method and when.

Why a formal RAMS template matters for servicing projects

A RAMS template centralizes hazard identification and mitigations, reduces ambiguity between stakeholders, and documents authorization for work to proceed. It supports regulatory compliance, protects workforce safety, and provides an auditable trail for insurance and contractual disputes.

Why a formal RAMS template matters for servicing projects

Typical users and contributors

The template is completed and reviewed by personnel who plan, supervise, and accept servicing work at the site.

  • Project manager — prepares scope, schedule, and overall authorizations for servicing tasks.
  • Site safety officer — completes hazard analysis and specifies control measures and PPE.
  • Contractor foreperson — confirms methods, crew competencies, and signs for practical execution.

Distribution typically includes the project manager, on-site supervisor, client representative, and any affected subcontractors.

Core sections to include in a professional RAMS template

A complete RAMS template groups information into clear, repeatable sections so reviewers can find hazards, controls, and approvals quickly.

Project identification

Project ID, client, site address, contract reference, and contact details for responsible managers and client representatives.

Scope of works

Concise description of tasks being performed, location limits, working hours, and interfaces with ongoing site operations or other contractors.

Hazard assessment

Itemized hazards with likelihood and severity, risk ratings, and prioritised control measures that align with site rules and legal duties.

Method statements

Step-by-step procedures for carrying out each task safely, including equipment required, temporary works, and permit-to-work triggers.

Competence and PPE

Required qualifications, training evidence, number of workers, assigned supervisors, and mandatory personal protective equipment for each activity.

Sign-off and recordkeeping

Authorised signers, signature blocks with dates, review cadence, and attachments such as permits, certificates, and inspection logs.

Essential security, compliance and identity fields

Encryption: TLS 1.2/1.3 in transit
Data at rest: AES-256 encrypted storage
Audit trail: Complete timestamped signing history
HIPAA/BAA: BAA required for PHI
Authentication: Multi-factor options available
Access control: Role-based permissions

Step-by-step: complete the RAMS template

Follow these sequential steps to prepare, review, and authorize the RAMS before starting work.

  • 01
Gather info: Collect contract, site rules, and past incident reports.
  • 02
Assess hazards: Identify and rate task-specific risks and controls.
  • 03
Draft methods: Write stepwise procedures and equipment lists.
  • 04
Obtain sign-off: Get approvals from manager, safety officer, and client where required.

Configuring a digital RAMS workflow

Set up fields, approval routing, and authentication to match your internal review and handover procedures.

Field Configuration
Approval order Sequential approvals: planner → safety officer → client
Required fields Make hazard, mitigations, and signature blocks mandatory
Authentication Enable email or SMS code verification
Attachments Allow upload for permits and certificates

Where to send the completed RAMS

Routing depends on contractual and regulatory requirements; choose recipients who must accept or act on the RAMS.

  • Internal records: Project file and safety management system for audit purposes
  • Client representative: Client acceptance and site permit holder notification
  • Subcontractors: Distribute to on-site crews and supervisors
  • Regulator copy: Provide on request for inspections or incident investigations

Technical and integration considerations for digital completion

Match platform capabilities to your workflow for authentication, integrations, and auditability.

  • Integrations: Salesforce, NetSuite, Procore available
  • File formats: PDF, DOCX, and Excel supported
  • Authentication: Email, SMS, or advanced methods

Practical examples of RAMS usage in servicing projects

These condensed scenarios show how a RAMS template structures work, mitigations, and approvals in common service contexts.

Maintenance on occupied site

Intro: A building services team scheduled HVAC servicing in a mixed‑use building, requiring tenant notices and phased access controls.

  • Point: Work staged to avoid peak hours and isolate zones.
  • Outro: The RAMS documented tenant notifications, isolation procedures, and a signed client acceptance that reduced rework and clarified responsibility during the service window.

Equipment servicing at industrial plant

Intro: A subcontractor performed planned pump maintenance near live plant equipment with permit-to-work conditions.

  • Point: Lockout-tagout and temporary barriers were required.
  • Outro: Using the RAMS template ensured all JSA items, competency checks, and corporate insurer requirements were captured and signed prior to permit issue.

Practical tips to improve accuracy and reduce delays

Follow these practices to ensure the RAMS is accepted, clear, and legally defensible.

Use consistent identifiers
Use the same project or contract number across RAMS, permits, and site registers to speed cross-referencing during inspections and audits.
Keep language task‑specific
Avoid generic controls. Specify exactly who does what, when, and with which equipment to prevent scope creep and enforcement gaps.
Attach evidence
Include licenses, certificates, test reports, and photos as attachments to provide immediate proof of competence and equipment condition.
Document versioning
Record version numbers and approval timestamps so reviewers can track changes and revert to prior approved methods if needed.

Common mistakes to avoid when preparing RAMS

  • Omitting site-specific hazards and relying on generic templates leads to inadequate controls and inspector rejection.
  • Mismatched names or missing dates in signature blocks cause acceptance and audit issues with insurers or clients.
  • Failing to attach permits, licenses, or evidence of competency delays approvals and may prevent work starting.
  • Using vague control measures like "follow safe practices" without specifying PPE, isolation, or monitoring increases liability.

Consequences of incomplete or incorrect RAMS

Safety incidents: Increased injury risk
Contract penalties: Fines or remedial work costs
Insurance denial: Coverage disputes for claims
Regulatory action: Citations or stop-work orders
Project delays: Work suspended pending remediation
Reputational harm: Client trust erosion
