What the Project Management Sharepoint Project Template Is

The Project Management Sharepoint Project Template is a structured site and document set designed to standardize project setup, collaboration, and recordkeeping inside Microsoft SharePoint. It typically includes a project homepage, document libraries, task lists, issue and risk registers, a project schedule, and a simple governance checklist. The template streamlines access control, versioning, and approvals so project teams and stakeholders have a single source of truth for deliverables, timelines, and communications while preserving required audit history for compliance and later review.

Why Organizations Use This SharePoint Project Template

Standardizing project setup reduces configuration time, clarifies roles, and helps preserve an auditable record of decisions. It supports consistent naming, retention, and access controls and aligns document flows with legal requirements such as ESIGN (15 U.S.C. ch. 96) and UETA where applicable.

Why Organizations Use This SharePoint Project Template

Who Typically Uses the Template

Project managers, PMO teams, IT administrators, and functional leads most often create or deploy the template when initiating new projects.

  • Project managers and PMOs who need consistent intake, milestone tracking, and centralized documents for audits and handoffs.
  • IT and SharePoint administrators who provision sites, configure permissions, and maintain templates across the organization.
  • Business owners and compliance officers who require preserved records, role-based access, and standardized retention policies.

Smaller teams and contractors can use the template for repeatable project delivery; enterprise deployments often add compliance workflows and advanced integrations.

Core Elements Included in a Professional Template

A complete Project Management Sharepoint Project Template groups common project assets and controls so teams can start work immediately while meeting governance needs.

Project Homepage

A landing page with project summary, key contacts, high-level milestones, and links to all project resources.

Document Libraries

Structured libraries for contracts, deliverables, and templates with enforced metadata and versioning policies.

Task & Schedule Lists

Task lists and a schedule view for milestone tracking, assignments, and dependencies.

Issue & Risk Registers

Standardized lists for logging, assigning, and tracking mitigation of issues and risks.

Change Control

A simple change request workflow and approval fields tied to document versions and audit history.

Access Controls

Role-based permission groups, approval owners, and an audit trail for sensitive actions.

Step-by-Step: Set Up a Project Site from the Template

Follow these steps to provision a new project site, configure permissions, and activate essential lists and workflows for governance and recordkeeping.

  • 01
Create Site: Select the Project Template, enter metadata, and provision site collections.
  • 02
Configure Permissions: Assign project owners, contributors, and read-only groups per governance.
  • 03
Activate Libraries: Enable document libraries, versioning, and required metadata fields.
  • 04
Enable Workflows: Turn on approval, change request, and retention workflows as needed.

How to Customize and Automate Project Workflows

Configure workflows so approvals, notifications, and retention rules run consistently across projects.

Field Configuration
Approval Flow Sequential approvals by Role → Notify owner on completion
Change Request Require documented reason, impact assessment, and sponsor sign-off
Retention Label Map to record type → retention period triggers archival
Alerts Email or Teams notifications for due dates and overdue items

Where To Send Documents and How Routing Works

Documents follow configured library rules: upload, tag metadata, and route to approvers. The audit trail records each action.

  • Upload Location: Place files in the appropriate library with required metadata.
  • Automatic Routing: Metadata-driven flows route documents to approvers or reviewers.
  • External Distribution: Generate secure links or package files for external stakeholders.
  • Archive Path: Approved final documents move to a read-only archive with retention labels.

Digital Signing, eSubmission, and Integration Considerations

Confirm platform requirements and integrations before enabling electronic signatures or automated submissions.

  • Document Formats: PDF, DOCX, and XLSX supported
  • Integrations: Microsoft 365, Teams, SharePoint, and connector APIs
  • Authentication: SAML/SSO, multi-factor authentication

Ensure chosen eSignature solution supports required compliance frameworks (for example HIPAA BAA or 21 CFR Part 11) and can deliver an auditable certificate with each signed document.

Required Project Information and Metadata Fields

Project Title: Primary identifier
Project Owner: Accountable person
Start Date: MM/DD/YYYY
End Date: MM/DD/YYYY
SharePoint URL: Site address
Document Version: Version metadata

Typical Timelines and Key Deadlines

Project schedules and governance deadlines differ by scope; use these standard checkpoints to organize approvals and archival actions.

Kickoff Meeting:

Within 7 days of site provisioning

Baseline Schedule:

Set within 14 days of kickoff

Milestone Reviews:

Monthly or per deliverable cadence

Final Deliverables Due:

At project close or agreed acceptance date

Archive Date:

Common Mistakes When Preparing the Template

  • Inconsistent naming that fragments search and reporting.
  • Missing or incorrect metadata that stops workflow routing.
  • Overly permissive permissions exposing confidential files.
  • Failing to enable versioning and retention controls.

Risks and Consequences of Incorrect Setup

Compliance Gaps: May trigger regulatory scrutiny
Data Loss: Misconfigured retention risks deletion
Unauthorized Access: Leads to confidentiality breaches
Invalid Signatures: Missing consent may void signatures
HIPAA Exposure: Protected health data violations
Financial Penalties: Possible fines or remediation costs
