What the Project Management Solid Template Is

The Project Management Solid Template is a standardized project agreement and execution plan designed to capture scope, deliverables, schedule, roles, risks, and acceptance criteria in a single, reusable document. It combines a high-level project charter with task-level milestones, resource assignments, change-control provisions, and signature blocks for stakeholders. The template is suitable for internal projects and client engagements where formal documentation and traceable approvals are required, and it supports both paper and compliant electronic execution methods.

Why a Solid Template Matters for Project Outcomes

A complete template reduces ambiguity, aligns stakeholders on scope and responsibilities, and creates a single authoritative record of approvals and changes. It supports consistent project intake, clearer vendor or contractor obligations, and faster dispute resolution by documenting acceptance criteria.

Why a Solid Template Matters for Project Outcomes

Who Typically Prepares and Signs This Template

The template is used by project managers, procurement teams, department heads, external vendors, and legal or contract administrators to formalize scope, schedule, and approvals prior to work beginning.

  • Project managers and PMOs preparing scope, schedule, and acceptance criteria for internal or client projects.
  • Procurement or vendor managers formalizing contractual deliverables, payment milestones, and change control.
  • Legal or contract administrators reviewing terms, liability allocation, and jurisdictional governance clauses.

Use the template when a project requires documented sign-off, budget authorization, or when multiple stakeholders must agree on deliverables and acceptance criteria.

Core Sections to Include in a Professional Template

A thorough Project Management Solid Template organizes project information so reviewers can quickly find obligations, timelines, and acceptance metrics. Include defined roles, scope, milestones, deliverables, dependencies, payment terms, and change-control procedures.

Scope Summary

Concise description of included work, exclusions, and assumptions as baseline for change control and acceptance.

Deliverables

List of tangible outputs with acceptance criteria, delivery format, and responsible party for each item.

Schedule

Milestones, target dates, and dependencies with a clear baseline and revision history for changes.

Roles & Responsibilities

Stakeholder names, decision rights, escalation paths, and primary contacts for execution and approvals.

Change Control

Process for requesting, approving, and recording scope or schedule changes, including required approvals.

Signatures & Dates

Signature blocks for all parties, effective date, and places for initials on revised pages or exhibits.

Step-by-Step: Completing the Project Management Solid Template

Follow these steps in order to prepare the template for review, execution, and retention.

  • 01
Draft Scope: Summarize work, deliverables, and exclusions in clear terms.
  • 02
Set Milestones: Assign dates and owners for each deliverable.
  • 03
Review Terms: Legal and finance confirm payment and liability language.
  • 04
Execute Signatures: Collect signatures using compliant eSignature or notarization if required.

Configuring an Online Workflow for This Template

When automating the template, map fields and routing to match approval order, authentication, and storage requirements.

Field Configuration
Signature Order Sequential or parallel routing per stakeholder approval hierarchy
Authentication Email link, SMS code, or knowledge-based authentication as required
Notifications Set reminders and overdue alerts to defined project contacts
Storage Save completed copies to document repository with audit trail

Where to Send and How Execution Typically Works

A common routing model moves the template from drafter to approvers to signers and finally to records storage with an immutable audit trail.

  • Prepare Document: Drafter completes fields and attaches exhibits or schedules.
  • Internal Review: Finance and legal verify payment and liability terms.
  • Signature Collection: Collect signatures in-role order with authentication.
  • Archive: Store signed record with audit trail for retention compliance.

Technical and eSignature Requirements for Online Completion

Choose a platform that supports conditional fields, audit trails, and the authentication level your organization requires.

  • Document Types: PDF, DOCX supported for upload and signing
  • Integrations: Connectors for Salesforce, NetSuite, Google Workspace, Box
  • Authentication: Email links, SMS, KBA, or SSO as required
