What the Project Management SRA Document Is

The Project Management SRA Document is a structured Security and Risk Assessment used within project delivery to record identified risks, assigned owners, mitigation measures, and acceptance criteria. It serves as a single authoritative record for risk decisions, timelines, and residual risk levels. Teams use the SRA to support governance, change control, and auditability by capturing evidence, version history, and approvals. The document is typically updated at key milestones and retained with project records to support post-project reviews and regulatory compliance.

Why a Formal SRA Document Matters for Projects

A clear SRA document centralizes risk decisions, documents mitigation responsibilities, and creates an auditable trail useful for governance, vendor oversight, and post-incident review. It reduces ambiguity about who must act, helps prioritize scarce resources, and supports regulatory or contractual obligations that require documented risk management processes.

Why a Formal SRA Document Matters for Projects

Who Typically Creates and Reviews an SRA

The Project Management SRA Document is produced and reviewed by cross-functional teams to ensure technical, legal, and operational perspectives are captured.

  • Project Managers and PMO leads who coordinate assessment timelines and acceptance criteria across teams.
  • Technical leads and architects who identify technical risk, mitigation options, and residual exposure.
  • Legal, compliance, or security officers who review controls, regulatory impact, and contractual obligations.

Final approvals normally come from project sponsors or delegated authority; records of approval and any reviewer comments should be retained with the document.

Core Sections to Include in a Professional SRA

A complete Project Management SRA Document organizes information so reviewers can quickly understand risk context, likelihood and impact, planned mitigations, and acceptance thresholds.

Scope

Define project boundaries, assets in scope, affected environments, and excluded elements so reviewers understand the assessment perimeter and constraints.

Risk Register

List each risk with a unique ID, description, likelihood and impact ratings, root cause, and current status to enable tracking and reporting.

Mitigation Plan

Describe actions, milestones, owners, estimated effort, and dependencies for each mitigation so teams can manage execution and verify completion.

Roles & Responsibilities

Identify owners, reviewers, approvers, and escalation contacts for each risk and mitigation to ensure accountability and timely resolution.

Schedule Impact

Document how unresolved risks affect deliverables and critical milestones, and map mitigation timelines against the project schedule.

Acceptance Criteria

Set measurable criteria and residual risk levels that must be met before risk closure or move to production to support sign-off.

Step-by-Step: Completing the SRA Document

A consistent sequence prevents gaps and ensures reviewers can rely on the SRA for decisions and audits.

  • 01
Prepare Context: Gather scope, architecture diagrams, and stakeholder list before drafting.
  • 02
Populate Register: Enter risks, assign IDs, and rate likelihood and impact.
  • 03
Define Mitigations: Specify actions, owners, and completion dates for each risk.
  • 04
Review & Approve: Obtain stakeholder and sponsor sign-off and record approvals.

Typical Digital Workflow Settings for an SRA

Configure workflows to enforce routing, authentication, and retention policies when producing or approving the SRA electronically.

Field Configuration
Routing Order Sequential routing to owner, security, then sponsor.
Authentication Email + SMS code or SSO for reviewer verification.
Conditional Fields Show mitigation fields only if risk rated medium or higher.
Retention Policy Archive with project records for the required retention period.

Where to Send and How to Submit the Final SRA

A predictable submission path and storage location reduce retrieval time and ensure the record is available for audits and post‑mortems.

  • PMO Repository: Upload final SRA to the project management document library.
  • Security Team: Notify security for control validation and evidence review.
  • Project Sponsor: Circulate for executive sign-off and residual risk acceptance.
  • Archive: Store signed copy in records management with access controls.

Distribution and Platform Considerations

Choose delivery methods that preserve audit trails, enforce authentication, and support record retention.

  • Email Delivery: Sends links to reviewers; use secure links and short expiration.
  • Document Portal: Centralized access with role-based permissions and version control.
  • eSignature: Captures signer intent, timestamp, and audit metadata.

Ensure the chosen platform supports your organization’s authentication and retention requirements before distribution.

Security and Compliance Details to Record

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest.
Audit Trail: Timestamps, IP, and action history retained.
Certifications: SOC 2 Type II and ISO 27001.
HIPAA Support: BAA required for protected health information.
21 CFR Part 11: Compliant controls available for FDA-regulated records.
ESIGN / UETA: Electronic signatures accepted under federal and state law.

Common Consequences of Incomplete or Incorrect SRAs

Regulatory Penalty: Industry-specific fines or notices possible.
Contract Breach: Missed obligations can trigger liability.
Operational Delay: Unmitigated risks can delay deployments.
Audit Findings: Insufficient evidence leads to negative audit outcomes.
Data Exposure: Unaddressed security gaps increase breach risk.
Remediation Costs: Reactive fixes typically cost more than planning.
