What the Project Management Stillhouse Template Is

The Project Management Stillhouse Template is a standardized project plan and governance document used to define scope, deliverables, roles, milestones, budget controls, risk registers, and acceptance criteria for a single project or program. It combines a project charter, work breakdown structure, responsibility matrix, milestone schedule, and change-control log into a single, reusable package designed for consistent handoffs and auditability. Teams use the template to align stakeholders, record approvals, and create a versioned record suitable for electronic signing and secure archival under U.S. retention rules.

Why teams rely on this template

The template centralizes planning and approvals to reduce ambiguity, speed onboarding, and document scope changes. It standardizes evidence of intent and approvals so agreements and sign-offs are auditable and reproducible for compliance, invoicing, and dispute resolution.

Why teams rely on this template

Who typically completes the Project Management Stillhouse Template

The template is also used by auditors and legal teams as a single source of record for project lifecycle events and approvals.

  • Program Managers and PMO leads who coordinate cross-functional deliverables and centralize approvals across sponsors and vendors.
  • Procurement and contracts staff who need documented scope, deliverables, and signature evidence for billing and compliance.
  • Project sponsors and client representatives who provide acceptance criteria, sign off on milestones, and authorize budget changes.

Core components to include in a professional template

A comprehensive Stillhouse template includes discrete sections for scope, schedule, budget, roles, risk, and change control so each approval is traceable and enforceable.

Project Charter

Concise purpose, objectives, high-level scope, and authorized budget so stakeholders share the same baseline for decision-making and approvals.

Work Breakdown

Hierarchical task list with owners and estimates that maps deliverables to milestones and supports earned-value or progress reporting.

RACI Matrix

Clear assignment of Responsible, Accountable, Consulted, and Informed roles to minimize approval bottlenecks and signal escalation paths.

Milestone Schedule

Dates, acceptance criteria, and required deliverables for each phase to support billing, dependency tracking, and contract enforcement.

Change Log

Formal record of requested changes, approvals, cost implications, and status to maintain an auditable decision history.

Risk Register

Identified risks with owner, likelihood, impact, and mitigation actions to support contingency planning and governance reporting.

Step-by-step: complete and finalize the template

Follow these sequential actions to prepare, review, and record official approvals for a project using the Stillhouse template.

  • 01
Draft: Populate sections with scope, schedule, budget, and roles.
  • 02
Review: Share with stakeholders for factual and legal review.
  • 03
Approve: Collect required signatures in the prescribed order.
  • 04
Archive: Save a final, versioned copy and retention metadata.

Configure an online workflow for this template

Set up roles, authentication, and routing rules so electronic review and signature match organizational controls.

Field Configuration
Signer Order Sequential or parallel routing
Authentication Email + optional SMS or KBA
Notifications Automated reminders and escalation
Retention Tagging Apply document type and retention metadata

Where to send or file the completed template

Determine distribution and final filing destinations before signature to ensure compliance with recordkeeping and procurement rules.

  • Contract Repository: Upload to central contract management system.
  • Project Folder: Store a versioned copy in project document library.
  • Finance/AR: Send copies to accounts payable or receivable.
  • Legal or Audit: Provide finalized file for compliance review.

Digital signing and sharing considerations

Choose settings that match legal risk and internal policy; platforms with SOC 2, ESIGN/UETA compliance and optional HIPAA BAAs support higher-sensitivity workflows.

  • Authentication: Email, SMS, or KBA supported
  • Document Formats: PDF and DOCX accepted
  • Integrations: Connectors for cloud storage

Typical timelines and processing expectations

Project timelines vary by size; include defined windows for review, signature, and change approvals to avoid schedule drift.

Initial Review Window:

Allow 5–10 business days for stakeholder comments

Signature Period:

Target obtaining signatures within 7 calendar days

Change Request Turnaround:

Assess and respond within 10 business days

Invoicing Trigger:

Invoice upon milestone acceptance or within 30 days

Dispute Resolution Start:

Raise contract disputes within 30–60 days of discovery

Common mistakes to avoid when preparing the template

  • Leaving the scope vague or open-ended, which creates room for disputes and scope creep affecting schedule and cost.
  • Failing to specify acceptance criteria or deliverable formats, which delays invoicing and prevents objective sign-off.
  • Using inconsistent naming or version control, which complicates audit trails and leads to multiple competing 'final' documents.
  • Collecting signatures in the wrong order or omitting required approvers, which can invalidate approvals for procurement or billing.

Potential risks and consequences of errors

Payment Delays: Late invoicing or disputed acceptance
Contract Disputes: Ambiguous scope triggers litigation risk
Regulatory Exposure: HIPAA or financial reporting gaps
Tax Penalties: Incorrect records affect filings
Audit Findings: Missing approvals or retention gaps
Operational Impact: Project delays and cost overruns

Real-world examples of the template in use

These short examples illustrate how organizations used a standardized template to speed approvals and maintain compliance.

Optica Ventures

Optica standardized project packages to reduce review cycles by centralizing scope and contacts.

  • The interface simplified handoffs for external clients.
  • The result was faster acceptance of deliverables and a consistent audit trail used by finance and legal for invoicing and compliance.

Martin Properties

Martin Properties converted paper PM packets into a single digital template for leasing and renovation projects.

  • Mobile signing enabled field approvals.
  • This allowed onsite managers to close milestone sign-offs without returning to the office, improving turnaround while preserving versioned records.

Practical tips for accurate and efficient completion

Adopt these practices to reduce rework, preserve evidentiary quality, and shorten approval cycles.

Use consistent naming and versioning
Apply a standard file-name convention with a version/date stamp and a single authoritative 'final' file to avoid multiple competing copies.
Define acceptance criteria clearly
Attach measurable acceptance tests and required deliverable formats to prevent subjective sign-offs and support invoices tied to milestone acceptance.
Limit required signers
Only include essential approvers in the primary signing order; use CC or parallel workflows for informational recipients to reduce bottlenecks.
Capture signatures with audit evidence
Use platforms that record signer identity, timestamp, IP, and document history to maintain an evidentiary trail for audits and disputes.
