Practical Tips to Reduce Errors and Delays

Practical tips to ensure accuracy, enforceability, and efficient processing when using Project Management Support Contracts.

Draft clear scope and acceptance criteria
Avoid ambiguous descriptions; break work into measurable deliverables with explicit acceptance tests. Attach schedules, sample formats, and test procedures. Clear acceptance reduces disputes, accelerates payment, and provides objective basis for project completion.
Confirm signatory authority and documentation
Require corporate resolutions, POAs, or title verification for corporate signers. For individual signers use government ID and electronic authentication. Record verification steps and attach copies to the signed contract for future audit and enforcement needs.
Tie payments to verifiable milestones
Link invoices and releases to documented acceptance criteria and sign-offs. Include dispute hold procedures and final settlement terms. Clearly state invoice format, payment timeline, and penalties for late payment to reduce cashflow disputes.
Keep tamper-evident records and backups
Store signed PDFs with embedded audit trails and exportable metadata. Maintain offsite backups and access controls. For regulated industries, ensure records meet retention rules such as HIPAA six-year or IRS three-year requirements and produce evidence on demand.
