What the Project Management WordPress Development Template is

The Project Management WordPress Development Template is a standardized contract and project record used to define scope, deliverables, schedule, payment terms, acceptance criteria, and change control for WordPress development engagements. It organizes responsibilities for client and vendor, captures technical requirements (theme, plugins, hosting, integrations), assigns milestone dates, and provides signature blocks for execution. The template reduces ambiguity during handoffs between design, development, QA, and deployment, and is suitable for agencies, freelance developers, and in‑house product teams managing site builds or redesigns.

Why this template matters for WordPress projects

A clear template lowers scope disputes, documents client approvals, and records acceptance. Used correctly, it supports enforceability under the ESIGN Act (15 U.S.C. ch. 96, 2000) and state UETA provisions by capturing intent, consent, attribution, and retention.

Why this template matters for WordPress projects

Who typically completes this WordPress project template

The template is flexible: scale the detail for fixed‑price projects or keep it concise for time‑and‑materials engagements.

  • Digital agencies and project managers coordinating design, development, QA, and deployment across teams.
  • In-house marketing or product teams commissioning site builds and tracking vendor deliverables and payments.
  • Freelance WordPress developers and contractors documenting scope, timelines, and client approvals.

Core components to include for a professional WordPress project template

A complete template balances technical detail and legal clarity so both technical teams and business stakeholders understand obligations and acceptance criteria.

Scope of Work

Precise list of pages, features, theme/customization, plugin list, content migration, integrations, and exclusions to limit scope creep.

Deliverables

Defined artifacts (wireframes, staging site, production deployment, documentation) plus format and handoff requirements for code and content.

Milestones

Named phases with deliverable due dates and acceptance steps to link payments to objective checkpoints.

Payment Terms

Total fee, deposit, milestone payments, invoicing cadence, late fee policy, and refund or credit conditions.

Change Control

Process to request, price, and approve changes including impact on schedule and additional costs.

Acceptance Criteria

Testing scope, browser/device matrix, bug classification and remedy windows required before final sign‑off.

Step-by-step: complete and execute the template

Follow these steps to populate, approve, and archive the signed template so it governs the project lifecycle.

  • 01
Prepare draft: Populate fields, attach SOW, list deliverables.
  • 02
Internal review: Legal and PM review scope, fees, and timelines.
  • 03
Client signoff: Send for signature; confirm acceptance criteria.
  • 04
Archive: Save executed copy and notify finance and delivery teams.

Configure the online workflow for signatures and handoffs

Map each field, signer role, and integration before sending to reduce delays and missed steps.

Field | Configuration Signer role | Action
Signer roles Client PM | Sign and receive copy
Authentication Email link or SMS code
Reminders Automated reminders at 3 and 7 days
Integrations Push final PDF to Google Drive or NetSuite

Where to send and store the executed template

Decide recipients and storage locations during setup so signed copies route automatically to project and finance teams.

  • Client Records: Client receives a signed PDF for their files.
  • Project Repository: Save to project folder in Google Drive or Box.
  • PM Tool: Link or attach final contract to the project ticket.
  • Accounting: Send invoice and signed agreement to finance for payment.

Digital delivery and format requirements

Choose a platform that supports audit trails, secure storage, and your organization’s required authentication level.

  • File formats: PDF and DOCX supported
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Authentication: Email link, SMS, or advanced methods

Typical schedule items and expected timing

Common timeline checkpoints help align expectations between client and delivery teams; use calendar dates after signoff.

Proposal Due:

7–14 days from request depending on scope

Contract Signed:

Target within 3 business days of acceptance

Kick‑off Meeting:

Within 3–7 business days after signature

Development Milestones:

Defined per sprint or fixed dates in SOW

Go‑Live:

Date mutually agreed, after acceptance testing

Key project milestones from agreement to launch

Use a numbered milestone view to link payments and approvals directly to deliverable acceptance.

01

1. Agreement Execution

Finalize scope, fees, and signatures to authorize work.

02

2. Design & Approval

Deliver mockups and obtain client approval before build.

03

3. Development & QA

Complete feature work and perform testing cycles.

04

4. Deployment & Acceptance

Publish to production and capture final client sign‑off.

Common preparation mistakes to avoid

  • Unclear scope or missing exclusions that lead to scope creep and invoicing disputes.
  • Absent acceptance criteria causing disagreement over whether deliverables meet the contract.
  • Vague payment milestones that delay invoicing and cash flow for deliverables.
  • Failing to record client approvals and change orders in writing during the project.

Principal risks and consequences of an incomplete template

Missed Deadlines: Delays and penalty liabilities
Payment Disputes: Withheld payments or collections
IP Ownership: Unclear copyright transfer
Scope Creep: Uncompensated extra work
Data Compliance: Exposure under HIPAA/PCI
Invalid Execution: Signatures may be challenged

Security and compliance items to include

Encryption: TLS 1.2/1.3 in transit, AES‑256 at rest
Audit Trail: Timestamp, IP, and action log required
HIPAA: BAA required for protected health data
ESIGN / UETA: Legal framework for e‑signature validity
Access Controls: Role‑based access and SSO recommended
Certifications: SOC 2 Type II and ISO 27001

Two practical use cases for the template

Real examples demonstrate how the template reduces friction during contracting and delivery for typical WordPress projects.

Agency Scope Control

An agency used the template to document a 12‑page redesign and integrations

  • The SOW listed excluded work and third‑party license costs
  • After execution, change orders were processed consistently and billing disputes dropped significantly over six months.

In‑House Launch

A marketing team used the template for a CMS migration project

  • Milestones linked to payments and QA sign‑offs
  • The project met the go‑live date because acceptance criteria and rollback plans were agreed before development began.

Typical eSignature vendor comparison for executing this template

Compare entry pricing and selected capabilities for common eSignature providers; signNow appears first in the table per platform data.
