Common Preparation and Submission Pitfalls to Avoid

  • Vague scope language that omits exclusions or acceptance criteria causes disputes and often requires time-consuming amendments to complete work.
  • Incomplete budget line items or missing expense allowances lead to invoice rejections and delayed payments from finance teams.
  • Incorrect signatory listed or lack of delegation evidence results in signatures being rejected and requires a corrective amendment or ratification.
  • Failure to attach required technical specifications or vendor quotes can void approvals and force a resubmission of the proposal.

Risks and Consequences of an Incorrect Proposal

Contract Ambiguity: May cause disputes or additional unplanned costs
Approval Delays: Project start dates and cash flow impacted
Billing Errors: Incorrect invoices or payment rejections
Regulatory Exposure: Privacy or procurement violations possible
Invalid Signature: Signature challenges can require re-execution
Recordkeeping Gaps: Loss of auditability and compliance issues
