Common preparation errors to avoid

  • Incomplete photo documentation that omits close-ups makes it difficult to prove preexisting versus new damage during disputes.
  • Vague damage descriptions such as 'needs repair' without location or severity often delay approvals or reimbursement.
  • Missing signatures or dates on the final report reduce enforceability for deposit deductions and contractor billing.
  • Using inconsistent property identifiers (old unit numbers) causes misapplied charges or lost invoices in accounting systems.

Risks and potential consequences of errors

Unenforceable Deductions: Tenant disputes prevent deposit retention
Claim Denial: Insurer may deny poorly documented losses
Regulatory Violations: Late notice can violate tenant laws
Accounting Errors: Misapplied charges increase audit risk
Data Breach: Improper storage risks privacy penalties
I-9 / Payroll: Missing supporting docs trigger fines
