What a Property Condo Features document is

A Property Condo Features document lists the physical attributes, unit-specific amenities, building-level facilities, utility arrangements, and governance-related items for a condominium unit or complex. It serves as a concise, standardized disclosure for buyers, renters, property managers, and homeowners associations, and supports leasing, sales, and unit marketing while documenting facts for due diligence and recordkeeping purposes.

Why a clear features list matters

A well-prepared Property Condo Features record reduces misunderstandings, supports accurate marketing disclosures, and helps prospective occupants compare units. Combined with reliable eSigning and audit trails, it shortens transaction timelines while preserving a reproducible record for compliance and future reference.

Why a clear features list matters

Who commonly prepares and uses these feature lists

Clear ownership of the document and consistent updates help avoid disputes and reduce follow-up communications during a transaction lifecycle.

  • Listing agents and brokers who need consistent feature descriptions for MLS listings and buyer disclosures.
  • Property managers and association administrators who track maintenance responsibilities and shared services.
  • Buyers, renters, and prospective residents who compare units and verify included amenities and utility arrangements.

Elements of a professional Property Condo Features record

A professional features document organizes unit facts, building services, governance items, and attachments so recipients can quickly assess condition and included services.

Unit details

Unit number, floor, square footage, bedroom/bath count and flooring type, plus unique identifiers such as deed reference.

Interior amenities

List of installed appliances, HVAC type, window treatments, built-in fixtures, and any recent upgrades or renovation dates.

Building amenities

Shared facilities such as pool, gym, parking, storage, elevators, security systems, and hours or access restrictions.

Utilities & services

Utility providers, metering arrangement, included utilities, trash removal, internet options, and common-area maintenance responsibilities.

HOA terms

Monthly assessments, reserve fund notes, pet rules, rental restrictions, and contact information for the HOA or management.

Attachments

Linked or attached documents such as floor plans, condition reports, recent inspection notes, and warranty information.

Simple step-by-step completion workflow

Follow a short, consistent process to collect facts, confirm governance items, and distribute the finalized features record.

  • 01
Collect data: Gather unit specs, HOA rules, and attachments from records.
  • 02
Draft features: Populate the template with uniform field formats.
  • 03
Review with HOA: Have association or manager confirm governance and fees.
  • 04
Finalize: Obtain signatures and save a certified copy for records.

Typical routing and submission path

A standard digital path moves the file from drafting to signature, then to secure storage and distribution to stakeholders.

  • Upload document: Upload the template or PDF to your management system.
  • Add fields: Place required fields for signature, initials, and dates.
  • Send to signers: Route to owner, manager, and any witness or notary if required.
  • Archive record: Store signed copy with audit trail in secure repository.

Recommended online workflow settings

Configure a reusable template and authentication settings to reduce signer friction while preserving auditability.

Field Configuration
Template Create reusable template with locked fields for unit details
Authentication Use email plus optional SMS code for signer verification
Conditional fields Show HOA fields only when applicable to the unit
Storage Save signed PDF plus CSV export of field data

Technical considerations for eSubmission and sharing

Ensure the chosen environment captures an audit trail, supports the required authentication level, and stores records under an access-controlled retention policy.

Risks and potential consequences of errors

Misleading disclosures: May trigger consumer claims or rescission
Missing notarization: Can impair enforceability of deeds or affidavits
Incorrect signer: Creates challenges proving authorization
Data mismatch: Leads to title or insurance complications
Late filings: May incur administrative fines
Unretained audit trail: Weakens evidentiary value of signatures

Common preparation pitfalls to avoid

  • Incomplete amenities lists that omit appliances or parking details lead to buyer disputes and post-closing remediation requests.
  • Using informal names or nicknames for owners that do not match title can delay closing and require corrective affidavits.
  • Failing to attach HOA rules and recent minutes causes incomplete disclosure and potential regulatory noncompliance.
  • Uploading scanned, low-resolution floorplans or missing condition reports creates rework and longer review cycles for inspectors.

Real-world examples of document use

Practical examples show how concise feature documents reduce turnaround and improve clarity for buyers and property administrators.

Martin Properties

Martin Properties digitized unit feature sheets for remote closings and leasing

  • Reduced follow-ups for clarification by centralizing attachments after initial listing
  • "I can process and execute all of these documents online with 100% compliance and built-in security," improving efficiency across mobile and offline workflows.

Optica Ventures

Optica Ventures standardized condo feature templates across its portfolio to ensure consistent marketing and disclosure

  • Templates enforced required HOA items and attachments
  • Brian Fitzgibbons, COO, noted the interface simplicity and how it eased customer-facing communications while maintaining accurate records.

Who may be authorized to sign

Unit Owner

A recorded owner or their attorney-in-fact signs to confirm unit-level facts. Ensure name exactly matches title to avoid notarization or recording issues and include printed name, role, and date on the signature line.

Association Manager

The HOA board or delegated management representative signs for building-level items. Document the manager's authority under the association bylaws and record the signing role and date for enforceability.
