Common preparation and processing pitfalls to avoid

  • Incomplete photos or missing location details that delay verification and increase back-and-forth.
  • Vague cost descriptions that prevent apples-to-apples comparisons across contractor bids.
  • Unsigned or mismatched signatory names that trigger identity validation or reject authorizations.
  • Lack of permit documentation leading to municipal fines or work stoppage.

Risks and possible penalties from incorrect or incomplete forms

Insurance Denial: Missing evidence or late notice can result in claim denial or reduced payout.
Municipal Fines: Performing work without required permits can lead to fines and mandatory remediation.
Contractor Disputes: Unclear scope or missing approvals increases the risk of payment disputes.
Warranty Voids: Failure to document preexisting conditions or approved materials may void manufacturer warranties.
Legal Exposure: Incorrect signatory authority can render an approval unenforceable.
Recordkeeping Failures: Insufficient retention may impair future claims or audits.

Typical timelines and deadlines to track when using the form

Establish dates for inspection, authorization, permit application, work start, completion, and warranty start to avoid compliance gaps.

Inspection to Estimate:

7–14 days: time to obtain contractor estimates after inspection.
