What the Property Floor Selection Is and when it's used

The Property Floor Selection is a standardized form used to record a tenant's or purchaser's chosen floor or level within a multi-floor property. It captures the precise unit or suite, accessibility needs, elevator or stair access, and any floor-specific attachments such as measurements, floor plans, or vendor access instructions. Organizations use the form during leasing, move-in scheduling, construction fit-out, and title or closing checklists to reduce ambiguity about unit location and to coordinate logistics among property management, contractors, and service providers.

Why a clear floor-selection form matters

A concise Property Floor Selection reduces errors in unit assignment, supports compliance with building and ADA requirements, and speeds scheduling for move-ins and installations. It creates a single authoritative record that coordinates communications among leasing, facilities, and contractors while documenting accessibility and safety needs.

Why a clear floor-selection form matters

Who typically completes and relies on this form

Multiple roles touch the Property Floor Selection at different stages of leasing, construction, and occupancy.

  • Property managers and asset managers who record tenant choices and coordinate move-in logistics.
  • Leasing agents and brokers who collect buyer or tenant preferences during offer and application processes.
  • Architects, contractors, and facilities staff who use floor assignments to plan installations and code compliance checks.

Use the form to centralize decisions, reduce rework, and ensure responsibilities are clearly assigned across teams.

Core elements to include in a professional Property Floor Selection

A complete form balances fixed identifiers with situational detail so downstream teams can act without follow-up questions. Include structured fields and space for attachments.

Floor Identifier

Unique floor or level code plus building name and address to avoid ambiguity when multiple buildings or towers exist within a campus.

Unit or Suite

Exact unit or suite number, door orientation, and any sub-unit identifiers so maintenance and delivery personnel can locate the space reliably.

Accessibility Needs

Document required ADA accommodations, elevator access, and temporary ramp or lift needs that affect scheduling and permitting.

Measurements & Plans

Attach square footage, room layouts, and scaled floor plans; note whether measurements are approximate or certified for build-out billing.

Utilities & Services

List active utilities, HVAC zones, telecommunications access points, and keycards or security instructions relevant to the selected floor.

Attachments & Notes

Provide space for vendor instructions, inspection reports, or conditional approvals that materially affect occupation or construction timing.

Common mistakes to avoid when preparing the form

  • Entering inconsistent unit identifiers across documents, which causes delivery and billing errors and requires time-consuming reconciliation.
  • Failing to attach floor plans or measurements so contractors must re-measure and delay installations and move-ins.
  • Neglecting to record accessibility needs, which can create compliance problems and last-minute accommodation costs.
  • Skipping required signatures or notarization where the floor selection is attached to a deed or power of attorney, risking invalidation.

Consequences of incomplete or incorrect floor-selection records

Assignment Errors: May void specific unit allocations
Code Violations: Could trigger municipal fines
Delayed Occupancy: Move-in delays and extra costs
Financial Penalties: Contract breach fees possible
Safety Risks: Improper access increases hazards
Record Rejection: Unsigned forms may be non-binding
