What a Property Inspection Confirmation Is and When It’s Used

A Property Inspection Confirmation is a written record that documents the completion and results of a property inspection, including date, scope, inspector details, and notable findings. It verifies that an inspection occurred, summarizes major defects or items needing repair, and records any follow-up commitments. Commonly used in residential and commercial real estate transactions, lease turnovers, insurance inspections, and construction closeouts, the confirmation supports contractual contingencies, repair negotiations, and claims. It becomes part of the transactional file and often accompanies repair requests, settlement statements, and final closing documentation.

Why a Clear Confirmation Matters for Transactions

A concise, accurate confirmation reduces ambiguity about property condition, protects buyer and seller interests, preserves contingency timelines, and documents obligations for repairs or credits. It also creates an audit-ready record useful for underwriting, claims, and future disputes.

Why a Clear Confirmation Matters for Transactions

Who Completes and Relies on a Property Inspection Confirmation

Multiple parties prepare, sign, or use this confirmation to protect contractual rights and record outcomes.

  • Buyers and agents verifying inspection results and contingency satisfaction.
  • Sellers and property managers documenting repairs and condition at turnover.
  • Inspectors and contractors confirming completed work and outstanding items.

Completed confirmations are shared with agents, lenders, insurers, and retained in the transaction file for compliance and future reference.
