What the Property Inspection Request Form Is and When It’s Used

A Property Inspection Request Form is a standardized document used to ask a licensed inspector, property manager, or vendor to perform an inspection of a residential or commercial property. It records the requester and property details, inspection scope (e.g., general condition, pest, roof), preferred dates, access instructions, and any fees or payment terms. The form creates a written record for scheduling, liability allocation, and follow-up work, and can be executed electronically when parties meet ESIGN/UETA intent and retention requirements.

Why a Clear Request Form Matters for Inspections

A complete request form reduces scheduling friction, documents access and scope, and preserves evidence of consent and instruction. It centralizes contact, clarifies responsibility for fees, and speeds report delivery while supporting auditability for property managers, insurers, and landlords.

Why a Clear Request Form Matters for Inspections

Typical Users and Signers for This Form

The Property Inspection Request Form is used by multiple participants who need a documented inspection request and clear authorization before work begins.

  • Property managers and landlords who schedule routine or vacancy inspections and require documented access instructions.
  • Homeowners and tenants requesting repairs, pest control, or pre-listing condition checks involving third-party inspectors.
  • Insurance adjusters and claims handlers coordinating post-loss inspections and needing time-stamped authorizations.

Different roles may be required to sign or approve; clarify who provides access, who pays fees, and which report recipients are authorized.

Step-by-Step: Submitting a Complete Inspection Request

Follow these steps to prepare, submit, and confirm an inspection request so the inspector can accept and complete the work efficiently.

  • 01
Prepare Form: Gather property details, access code, and preferred dates before starting.
  • 02
Complete Fields: Fill every required field accurately and attach photos if available.
  • 03
Send to Inspector: Email or e-submit the form and request confirmation or a scheduling link.
  • 04
Confirm Appointment: Receive inspector confirmation and log the agreed date/time and any payment terms.

Typical Workflow From Request to Report

A predictable flow helps all parties know responsibilities and expected delivery timing for inspection results.

  • Submit Request: Requester completes form and provides access details and contact information.
  • Schedule: Inspector proposes times; parties confirm or reschedule as needed.
  • Perform Inspection: Inspector visits property, documents findings, and collects photos.
  • Deliver Report: Inspector sends a written report and any invoices to designated recipients.

Essential Sections of a Professional Request Form

A robust form groups information logically so inspectors, requesters, and recipients can act without clarifying emails or phone calls.

Requester Details

Contact name, phone, email, and relationship to the property (owner, tenant, manager) to establish authorization and invoicing route.

Property Details

Full address, unit, access codes, gate information, and any tenant notice requirements relevant to the inspection visit.

Inspection Scope

Clear checklist or narrative describing what to inspect (foundation, roof, HVAC, mold, pests) to set expectations and pricing.

Scheduling Preferences

Preferred dates and times, availability windows, and instructions for rescheduling or cancellations to reduce missed appointments.

Payment and Fees

Who pays, prepayment requirements, refundable deposits, or accepted payment methods noted to avoid disputes at service.

Authorization and Signature

A signature block for consent, access authorization, and electronic consent language when the form is executed electronically.

Core Fields to Include Every Time

Property Address: Street, unit, city, ZIP
Requestor Name: Full legal name
Contact Phone: Daytime number
Preferred Date: MM/DD/YYYY range
Access Info: Gate code or entry instructions
Signature Consent: Signed and dated

Common Preparation Mistakes to Avoid

  • Omitting access details such as gate codes or lockbox locations, which can result in missed appointments and additional fees.
  • Entering inconsistent names or email addresses that prevent the inspector from verifying authorization or sending final reports.
  • Selecting an insufficient inspection type (e.g., 'general' when HVAC or roof-specific inspection is required), causing surprise scope changes.
  • Failing to state who will pay for additional services discovered on-site, which creates billing disputes after the inspection.

Practical Tips for Accurate, Faster Requests

These practices reduce back-and-forth and speed inspection scheduling and report delivery.

Use clear, consistent dates and times
Enter dates as MM/DD/YYYY and provide at least two scheduling options. Providing a time window (e.g., 9:00 AM–12:00 PM) reduces cancellations and rebookings, especially for multi-unit properties.
Attach recent photos when possible
Photos of exterior, problem areas, or access points help inspectors assess equipment needed and may prevent multiple site visits by identifying safety or access issues in advance.
State payment responsibilities upfront
Specify who pays inspection fees, whether payment is required before the visit, and acceptable methods. Clear terms reduce invoice disputes and speed final delivery of signed reports.
Confirm credentials and licensure
Note required inspector licenses or certifications for specialized inspections. Verifying credentials ahead of time avoids regulatory noncompliance for insurance or permitting purposes.

Typical Timing Expectations and Processing Steps

Set realistic timing expectations so requesters and inspectors manage availability and reporting obligations.

Request to Scheduling:

Commonly scheduled within 2–5 business days depending on inspector availability

Inspection Window:

Inspector typically allocates 30–90 minutes depending on scope and property size

Report Delivery:

Most inspectors deliver written reports within 24–72 hours after the visit

Rescheduling Notice:

Provide 24–48 hours' notice to avoid cancellation fees

Record Retention:

Keep inspection records and signed request for at least three years for general business needs
