What the Property Recommendation Document Is and when it’s used

A Property Recommendation Document summarizes a professional assessment of a specific residential or commercial property for a client, lender, or internal review. It typically combines factual property data (address, size, zoning, condition), market context (recent comps, neighborhood trends), recommended actions (purchase, hold, renovate), and supporting evidence (photos, inspection notes). Authors can include agents, appraisers, property managers, or loan officers. The document serves decision-making, underwriting, and recordkeeping functions and is often incorporated into transaction files or advisory reports.

Why a clear Property Recommendation Document matters

A concise, well-structured Property Recommendation Document reduces ambiguity in underwriting and negotiation, documents the basis for recommendations, and creates an auditable record for compliance and liability management.

Why a clear Property Recommendation Document matters

Who prepares and relies on this document

Typical preparers include real estate agents, property managers, appraisers, lenders, and in-house acquisitions teams.

  • Real Estate Brokers and Agents who provide buyer or investor recommendations during a search or marketing process.
  • Lenders and Underwriters who need property context for loan decisions and risk assessment.
  • Property Managers and Investors who rely on condition assessments, rent comps, and suggested capital improvements.

Recipients use the document to make informed purchase, financing, or management choices and to maintain a defensible audit trail.

Step-by-step: Preparing and delivering a Property Recommendation Document

Follow these steps to compile a defensible document that supports decision-making and can be shared electronically or in print.

  • 01
Gather property facts: Collect address, APN, title summary, deed owner, and legal description.
  • 02
Conduct inspection: Document condition, systems, photos, and any deferred maintenance.
  • 03
Research market data: Assemble recent comps, rent rolls, vacancy and neighborhood trends.
  • 04
Draft recommendation: State suggested action, valuation rationale, contingencies, and next steps.

Essential components every professional Property Recommendation Document should include

A complete document balances factual data, analytic context, and clear, attributable recommendations so recipients can act and auditors can trace the basis for decisions.

Property Summary

Concise facts: address, APN, lot size, building square footage, year built, zoning and current use; supports quick reference and indexing.

Condition Report

Inspection highlights and photos addressing structure, roof, mechanical systems, and material defects that affect value or habitability.

Market Analysis

Comparable sales or rent comps, absorption trends, and local market indicators with dates and sources for each data point.

Valuation Rationale

Methodology (comps, income, cost), adjustments, and the effective valuation figure or recommended price range.

Risk and Contingencies

Material adverse facts, title exceptions, environmental concerns, and recommended contingencies for due diligence or repairs.

Signature and Attribution

Author name, credential or license, date, and contact; include version or file ID for recordkeeping.

How electronic completion and routing typically works

Common digital workflows reduce turnaround time while capturing identity and audit information required for enforceability.

  • Upload document: Sender uploads the recommendation file (PDF or DOCX) into the signing platform.
  • Place fields: Add signature, date, and conditional fields for approvals and reviewer notes.
  • Set routing: Define signer order or parallel review and include authentication steps.
  • Capture completion: Signer completes fields; platform generates certificate of completion and stores audit trail.

Technical and platform considerations for eSigning and storage

Confirm platform support for required file types, signer authentication, and retention before eSubmission.

  • File formats: PDF, DOCX, and searchable scans are supported; use PDF/A for long-term archiving.
  • Authentication: Email link, SMS code, or stronger methods (KBA or advanced auth) depending on risk tolerance.
  • Integrations: Connectors to CRMs, cloud storage, and loan origination systems speed routing and archival.

Choose a platform that balances signer convenience with the authentication level and retention features your compliance obligations require.

Configuring a recommended digital workflow for property recommendations

A standard workflow ensures consistency and preserves an auditable record for underwriting and compliance.

Field Configuration
Document Type PDF with embedded metadata
Signer Order Author → Reviewer → Client/Lender
Authentication Email + SMS code for client; platform SSO for internal reviewers
Storage Location Encrypted cloud folder with access logs

Common legal and operational risks if the document is incorrect or incomplete

Missing notarization: Deed or instrument may be rejected by county recorder
Inadequate authentication: Dispute over signer identity and enforceability
Insufficient retention: Noncompliance with IRS, HUD, or state audit requirements
Inaccurate valuation: Bad underwriting decisions and potential fiduciary claims

Frequent preparation mistakes to avoid

  • Using nicknames or initials for owner names instead of legal names
  • Failing to attach supporting comps, photos, or inspection notes
  • Not verifying APN or legal description against county records
  • Omitting version control or file ID leading to multiple conflicting drafts
