Typical timing considerations and submission expectations

Timing depends on the transaction type; set internal deadlines to align with appraisal, underwriting, and tax timelines.

Measurement completion:

Complete measurements as early as possible in the inspection period.

Lender appraisal deadlines:

Submit form to the appraiser within the lender’s appraisal request window.

Listing and MLS:

Provide completed form before listing goes live to avoid price corrections.

Tax assessor inquiries:

Respond within the assessor’s requested timeframe; filing deadlines vary by jurisdiction.

Record retention:

Keep signed records per retention policy and applicable federal/state rules.

Common preparation mistakes to avoid

  • Mixing measurement standards: using different standards across floors causes inconsistencies and appraisal disputes unless clearly documented.
  • Rounding and arithmetic errors: failing to show calculations or rounding rules leads to mismatches and lender rejections.
  • Omitting exclusions or inclusions: failing to state if garages, basements, or porches are included can change valuation materially.
  • Signer mismatches and missing dates: signatures that don’t match recorded owner names or lack dates delay acceptance by lenders or assessors.

Practical tips for accurate and efficient completion

Adopt consistent measurement standards and clear certification language to minimize downstream corrections and disputes.

Use a standard measurement
Adopt ANSI Z765 or a locally accepted standard and state it on the form so reviewers understand exactly how totals were derived.
Document exclusions clearly
Explicitly note garages, porches, and unconditioned areas so parties understand whether those areas are included in the gross living area.
Capture supporting evidence
Attach sketches, photos, or digital plans and store them with the signed form to expedite appraisals and inspections.
Verify signer identity
Use verified authentication for lender or official submissions to prevent rejections for unclear attribution.
