What the Property Well Distances Document Is

Property Well Distances Document records measured distances from a parcel, structure, or improvement to nearby wells (for example, water, oil, gas, or injection wells). It typically includes the parcel legal description, well identifier or permit number, measurement methodology, coordinate references, measurement date, and a surveyor certification. The document supports title review, permitting, land-use decisions, and environmental due diligence by demonstrating whether required setbacks or buffers are met and by providing evidence for lenders, buyers, and regulators during closings or reviews.

Why This Document Matters for Risk and Compliance

A clear Property Well Distances Document reduces ambiguity in closings and permitting, helps verify compliance with setback rules, and documents conditions that affect insurance, lender underwriting, and regulatory obligations.

Why This Document Matters for Risk and Compliance

Who Typically Prepares and Relies on This Document

Typical users include surveyors, title agents, environmental consultants, and municipal permitting staff needing precise well setback measurements for risk assessment.

  • Surveyors and land planners: record exact distances to support plats and site plans.
  • Title companies: verify exclusions, easements, or deed restrictions tied to well proximity.
  • Lenders and developers: evaluate safety buffers, insurance exposure, and permitting constraints.

The document also serves buyers, lenders, and developers who require certainty about site constraints and potential remediation or mitigation obligations.

Primary Roles That Sign or Certify the Document

Licensed Surveyor

Professional land surveyors locate well features, measure horizontal distances with GPS or total station equipment, and supply a signed, certified survey that supports plats, permitting, and legal boundary questions during transactions.

Title Agent

Closing officers and title examiners review the distances to identify recorded exceptions or title endorsements, include findings in commitments, and advise parties or lenders about exceptions, endorsements, or required mitigations tied to well proximity.

Essential Elements to Include in a Professional Report

A thorough Property Well Distances Document bundles measured distances with verifiable metadata and a professional certification so reviewers can confirm accuracy, chain of custody, and applicability to permitting or closing requirements.

Legal Description

Full parcel legal description and parcel identifier used for recording and title comparison.

Well Identification

Well name, API or permit number, operator, and well type to cross-reference regulatory records.

Measurement Data

Measured horizontal distances (feet or meters), measurement points, and any reference benchmarks used.

Coordinates

Latitude/longitude in decimal degrees or NAD83 coordinates for precise mapping and GIS overlay.

Methodology

Survey method, equipment used, measurement tolerance, and environmental conditions at time of measurement.

Surveyor Certification

Signed certification with surveyor name, license number, contact information, and signature date.

Required Fields and Standard Formats

Property Description: Parcel ID, lot, metes-and-bounds
Well Identification: Well name, API or permit number
Measured Distances: Feet or meters between reference points
Coordinates: Latitude and longitude (decimal degrees)
Measurement Date: MM/DD/YYYY of survey or report
Surveyor Certification: Name, license number, signature

Step-by-Step: Prepare and Verify the Document

Follow the steps below to collect, verify, and attach measured well distances before closing or permitting.

  • 01
Order Survey: Engage licensed surveyor to locate wells and record coordinates.
  • 02
Measure Distances: Use GPS or total station; note horizontal distances.
  • 03
Review Regulations: Check local setback rules, county or state codes.
  • 04
Attach and Certify: Include surveyor signature and measurement methodology.

Typical Workflow from Survey to Recording

This workflow shows how a Property Well Distances Document moves from survey creation to permitting, title review, and final recording.

  • Create Survey: Surveyor collects distances and prepares report.
  • Sender Uploads: Upload PDF and attach survey certification.
  • Reviewers Check: Title and permitting review accuracy and exceptions.
  • Record or Close: Record with county or use in closing package.

How to Configure an Online Completion Workflow

Configure an online workflow to collect surveys, signer information, and certifications prior to distributing to title and permitting teams.

Field Configuration
Document Template Upload PDF survey, set required fields
Signer Order Surveyor signs first, then title reviewer
Authentication Email + SMS code or ID verification
Auto-archive Save signed PDF to cloud and record metadata

Platform Capabilities to Support Electronic Completion

Platforms should accept PDF or DOCX, integrate with cloud storage, and support strong authentication for signers and surveyor certifications.

  • File Formats: PDF and Word DOCX formats accepted
  • Integrations: Google Drive, Box, NetSuite, Procore
  • Security: TLS 1.2/1.3 and AES-256 at rest

Typical Timelines and Review Deadlines

Expect review periods and recorder processing times that affect permitting and closings; plan schedules to avoid last-minute delays.

Survey Turnaround:

3–14 business days depending on site access and complexity

Title Review:

1–5 business days after document submission

Permit Review:

Variable: often 2–8 weeks for site-related permits

Recording Processing:

County recorders process in 1–10 business days, varying by jurisdiction

Dispute Resolution:

Allow additional weeks for remediation, endorsements, or boundary corrections

Common Mistakes to Avoid When Preparing the Report

  • Omitting surveyor certification or signature results in rejection by title and permitting reviewers and may delay closings by days or weeks.
  • Using inconsistent coordinate formats prevents reliable GIS overlay and can cause apparent discrepancies between survey and regulatory maps.
  • Failing to reference the official well permit or API number can lead to misidentification and improper setback conclusions.
  • Submitting unsigned or scanned images without embedded metadata removes chain-of-custody evidence and increases questions about data integrity.

Consequences of Incorrect or Missing Information

Incorrect Distance: May invalidate setback compliance
Missing Certification: Title exceptions or insurer denial
Late Discovery: Post-closing remediation costs
Regulatory Fines: Violations, fines, stop-work orders
Liability Exposure: Increased environmental remediation risk
Recording Rejection: Recorder may refuse documents
