What the Purchase Order and Purchase Invoice Template Is

A Purchase Order and Purchase Invoice Template is a combined procurement and billing form that standardizes order placement and invoice submission between buyers and sellers. The template typically includes buyer and vendor details, a unique PO number, line-item descriptions, quantities, unit prices, taxes, shipping, payment terms, and signature blocks. Using a single, fillable template reduces manual errors, speeds matching between orders and invoices, and provides a consistent record for accounts payable and receivable. Organizations adapt the template for internal approvals, vendor portals, and electronic signing workflows to maintain a clear audit trail.

Why a Standardized Template Improves Procurement Accuracy

A standardized Purchase Order and Purchase Invoice Template reduces disputes, accelerates payment cycles, and makes reconciliation predictable by ensuring required data appears in a consistent place.

Why a Standardized Template Improves Procurement Accuracy

Typical Users and Departments That Complete These Templates

Purchasing, accounts payable, finance teams, and vendors commonly complete and exchange purchase orders and invoices.

  • Procurement teams: Create POs to document approvals, budgets, and delivery schedules for goods and services.
  • Accounts payable: Match invoices to POs and receipts for payment authorization and ledger posting.
  • Vendors and suppliers: Use the invoice section to request payment and provide remittance details.

Clear role separation—requester, approver, and seller—reduces processing delays and supports internal controls.

Essential Elements Every Professional Template Should Include

A robust template balances administrative details with legal and accounting clarity so both sides can process orders and payments without back-and-forth.

PO / Invoice IDs

Unique Purchase Order and Invoice numbers to enable three-way matching and prevent duplicate payment.

Party Details

Full legal names, billing and shipping addresses, and tax identification (EIN/TIN) for compliance and remittance accuracy.

Line Items

Item descriptions, SKU, quantity, unit price, and extended totals with clear units of measure and delivery dates.

Taxes & Fees

Explicit sales tax, shipping charges, discounts, and any handling fees with jurisdictional tax treatment noted.

Payment Terms

Net terms (e.g., Net 30), early-pay discounts, acceptable payment methods, and remittance instructions.

Approvals & Audit

Approval block, signature fields, and an audit trail reference for electronic signatures and document versioning.

Step-by-Step: From Creating the PO to Recording the Invoice

Follow these sequential steps to issue a PO, receive an invoice, and reconcile payment efficiently in your accounting system.

  • 01
Create PO: Enter buyer/vendor details, items, quantities, prices, and delivery dates.
  • 02
Approve PO: Route to authorized approver(s) and capture approval signature or electronic consent.
  • 03
Send to Vendor: Deliver PO electronically with clear terms and a unique PO number.
  • 04
Match & Pay: Match received invoice to PO and receipt, then process payment per terms.

How to Configure an Electronic Workflow for POs and Invoices

Map fields and approval routing before issuing templates to ensure automated matching and timely payments.

Field Configuration
Auto-Numbering Enable sequential PO/Invoice IDs for tracking and deduplication.
Approval Sequence Define approvers and conditional routing based on amount thresholds.
Tax Calculation Auto-calculate sales tax based on shipping address and jurisdiction.
Payment Link Attach secure payment method or remittance instructions to invoices.

Typical Document Flow for Electronic POs and Invoices

A clear flow reduces reconciliation time and preserves a reliable audit trail for each transaction.

  • Issue: Buyer issues PO and shares with vendor via email or portal.
  • Fulfill: Vendor ships goods or delivers services and references PO number.
  • Invoice: Vendor submits invoice that references the PO and shipment details.
  • Reconcile: AP matches invoice, PO, and receipt before authorizing payment.

Export, Attachments, and Supporting Sections to Include

Ensure the template supports common export formats and includes attachment slots for delivery receipts, contracts, or tax forms.

Export Formats

Provide PDF and DOCX exports and a CSV option for bulk posting into accounting systems and ERPs.

Attachments

Allow multiple attachments such as delivery receipts, packing lists, and vendor certificates for audit proof.

Line-Item Calculations

Include auto-calculation fields for totals, taxes, discounts, and rounding to prevent manual errors.

Change History

Record edits and versions so each change to a PO or invoice is captured for review.

Security and Compliance Considerations

Encryption: AES-256 at rest; TLS 1.2/1.3 in transit
Access Controls: Role-based access and authentication
Audit Trail: Timestamps, IP, and action log
HIPAA: BAA available where needed
ESIGN / UETA: Legal e-signature frameworks supported
Certifications: SOC 2 Type II and ISO 27001

Common Preparation Errors to Avoid

  • Mismatched or missing PO and invoice numbers that block three-way matching and delay payment.
  • Incomplete line-item descriptions that cause disputes over quantities, units, or deliverables.
  • Incorrect tax or shipping calculations that trigger rework and possible penalties.
  • Unclear payment terms or missing remittance details that create vendor follow-up and reconciliation delays.

Risks and Consequences of Incorrect Templates

Late Payment Fees: May incur interest or penalties
Duplicate Payment: Risk of paying same invoice twice
Tax Exposure: Incorrect tax reporting or withholding
Contract Disputes: Vendor disagreements over scope or price
Audit Findings: Missing documentation triggers exceptions
Data Breach Liability: Exposes sensitive financial information
