What the Purchase Order Share Template Is

A Purchase Order Share Template is a standardized procurement document used to request goods or services and communicate terms between a buyer and a seller. It captures identifying data — PO number, buyer and vendor details, line items, pricing, delivery terms, and payment instructions — and is designed for reuse across purchases. When shared electronically it supports consistent approvals, reduces manual entry, and creates a clear audit trail that links purchase requests to invoices and payments.

Step-by-step: Complete and Share a Purchase Order

Follow these core steps to prepare, approve, and distribute a purchase order using the template.

  • 01
Prepare Details: Enter buyer, vendor, PO number, and effective dates.
  • 02
Add Line Items: Specify quantities, unit prices, taxes, and totals.
  • 03
Obtain Approvals: Route to authorized approvers in the correct signing order.
  • 04
Share and Archive: Send signed PO to vendor and store for accounting.

Essential sections to include in a professional Purchase Order

A reliable template groups legal, commercial, and logistical details so buyers and vendors can transact without ambiguity.

Header

Company logos, PO number, and issue date. These identifier elements link the PO to internal approval workflows and ERP records.

Buyer / Vendor

Full legal names, addresses, contact persons, and tax IDs. Accurate entity data prevents payment and tax-reporting issues.

Line Items

Item code, description, quantity, unit price, and required delivery date. Clear line items reduce fulfillment errors and disputes.

Pricing Details

Subtotal, discounts, taxes, shipping, and currency. Explicit pricing avoids downstream invoice reconciliation problems.

Terms & Delivery

Incoterms or delivery instructions, lead times, inspection rights, and acceptance criteria. These terms determine risk transfer and acceptance testing.

Approval & Signature

Signatory block, authorized approver names and titles, and approval date. Captures legal intent and authorization limits for spend.

Required data elements for a valid Purchase Order

Buyer Legal Name: Full registered name
Seller Legal Name: Full registered name
PO Identifier: Unique PO number
Itemized Costs: Line totals and taxes
Delivery Terms: Shipping and acceptance

Common preparation mistakes to avoid

  • Using inconsistent buyer or vendor legal names that cause invoice matching failures and tax-reporting problems.
  • Omitting delivery or acceptance criteria that leads to disputes over incomplete or nonconforming shipments.
  • Leaving payment terms ambiguous (e.g., 'upon receipt' without definition), which delays accounts payable processing.
  • Failing to confirm currency or tax treatment for international purchases, creating unexpected costs and reconciliation work.

Risks and potential penalties from incorrect purchase orders

Late Payment Fees: Vendor may assess penalties
Invoice Rejection: Payment delays and disputes
Tax Reporting Errors: Incorrect vendor TIN risks backup withholding
Contract Breach: Failure to meet delivery terms
Internal Audit Findings: Procedural noncompliance issues
Data Exposure: Unauthorized access to contract terms
