What a Purchase Reorder Request Is and when it’s used

A Purchase Reorder Request is a standardized procurement document used to request replenishment of previously ordered goods or recurring supplies from an approved vendor. It restates product SKUs, quantities, delivery terms, and any changes from the original purchase order so procurement, receiving, and accounts payable teams can process shipments and invoices consistently. Organizations use it to track reorder frequency, confirm pricing and lead times, and trigger inventory replenishment workflows while maintaining an auditable record of the requested transaction.

Why a clear Purchase Reorder Request matters

A concise reorder request reduces shipment errors, speeds procurement cycles, and creates a consistent audit trail for inventory and accounting.

Why a clear Purchase Reorder Request matters

Who typically completes or approves a Purchase Reorder Request

Procurement, inventory managers, purchasing agents, and authorized departmental buyers commonly prepare reorder requests to replenish stock or repeat purchases.

  • Procurement teams verifying contract pricing and available vendor discounts before issuing reorders.
  • Inventory or warehouse staff initiating reorders when stock levels trigger minimum thresholds.
  • Accounts payable or purchasing approvers confirming budget, GL coding, and payment terms.

Final approval usually follows company approval matrix and may require signatory authority from procurement or finance depending on the order value.

Signatory roles and typical document owners

Purchasing Manager

Purchasing managers generally own the reorder process, validate vendor selection and pricing, and approve requests within delegated authority. They coordinate with inventory and accounts payable to ensure accuracy and compliance with procurement policies.

Department Buyer

Department-level buyers initiate reorder requests for their unit, provide product specifics and required delivery windows, and submit requests for procurement review when values exceed delegated thresholds.

Essential elements of a professional Purchase Reorder Request

A complete reorder request should be structured and unambiguous so downstream teams can fulfill, receive, and invoice without back-and-forth clarification.

Header

Include document title, unique reorder request number, date of request, and reference to original purchase order or contract to link transactions across systems.

Supplier Details

Full vendor name, DBA (if applicable), vendor contact, vendor address, and supplier account number to ensure the correct supplier is engaged for fulfillment.

Line Items

For each SKU include item number, description, unit of measure, quantity requested, unit price, and total line value to support accurate receiving and invoicing.

Delivery Terms

Specify desired delivery date or lead time, shipping method, destination address, and any special handling or packaging instructions for logistics coordination.

Approvals

List required approvers, approval status fields, and budget or GL account codes so finance can validate spending before shipment and invoice processing.

Notes & Attachments

Attach supporting documents such as original purchase order, receipts of prior deliveries, or quality specifications to clarify exceptions or changes from the initial order.

Step-by-step: filling and approving a Purchase Reorder Request

Follow these sequential steps to prepare, approve, and dispatch a reorder request without processing delays.

  • 03

Where to send a completed Purchase Reorder Request

Route the final request to procurement, the supplier, and accounting to ensure fulfillment and timely payment.

  • Procurement System: Create or update PO record in ERP or procurement platform.
  • Accounts Payable: Forward order copy for invoice matching and payment processing.
  • Records Archive: Store signed request in document repository for auditability.

Technical formats and integrations to support eSubmission

Use common file formats and platform integrations so vendors and internal teams can receive, sign, and archive reorder requests reliably.

  • Supported Formats: PDF, DOCX, XLSX for structured data exchange.
  • ERP / CRM Integrations: Salesforce, NetSuite, Microsoft 365 supported.
