What the Real Estate ASTSC Form Is and where it fits in a transaction

The Real Estate ASTSC Form is a standardized transaction document used in U.S. real estate workflows to record key facts about a property transfer, identify contracting parties, and capture required attestations and signatures. It typically accompanies purchase agreements, closing packages, or title submissions and consolidates property identifiers, party names, material disclosures, and signature blocks into a single record for easier review, recording, and archival. Organizations adopt a consistent ASTSC template to reduce manual errors, speed review cycles, and ensure all essential fields are present before settlement or recording.

Why a clear ASTSC Form matters for closing reliability

A complete ASTSC Form reduces closing delays, provides a consistent evidence trail for title and escrow teams, and helps ensure that county recording and lender requirements are met when transferring property interests.

Why a clear ASTSC Form matters for closing reliability

Key parties who prepare, review, or sign the ASTSC Form

Typical users interact with the form at different transaction stages; roles listed below reflect common responsibilities.

  • Listing and buyer agents who gather client data and submit the ASTSC as part of the closing package.
  • Title and escrow officers who verify property descriptors, attach required exhibits, and prepare the form for county recording.
  • Lenders and closing attorneys who confirm disclosures, review encumbrances, and certify lender-related attestations.

Use role-based checklists to assign who completes, who reviews, and who retains the final executed copy.

Where to send the completed ASTSC Form during closing

Route the executed form according to stakeholders and local recording practices to maintain chain of custody.

  • To Agent: Provide executed copy to listing and buyer agents for client records.
  • To Title Company: Send to title/escrow for final review and recording preparation.
  • To County Recorder: File recorded instruments with the county recorder when applicable.
  • To Lender: Deliver final executed form to the lender as required by underwriting.

Digital signing and technical considerations for ASTSC eSubmission

Ensure your eSignature platform supports required file types, signer authentication, and an auditable trail before starting.

  • File Formats: Support for PDF and Word DOCX is essential for templates and recorded copies.
  • Signer Authentication: Use email plus SMS or KBA for higher assurance when required.
  • Integrations: Integrate with CRM or title systems for seamless routing and storage.

Confirm the platform retains audit logs, supports required notarization or RON workflows, and integrates with your document management or closing platform for long-term retention and retrieval.

Timing checkpoints and common deadlines for the ASTSC Form

Plan timing around contract milestones, lender conditions, and county recording windows to avoid last-minute issues.

Provide to Title Prior to Closing:

Deliver a final ASTSC copy to title at least 48–72 hours before closing for review.

Recording and Submission:

Submit documents to the county recorder as required by the closing timeline; recording rules vary by county.

Lender Conditions:

Complete ASTSC items tied to lender conditions before funding and disbursement.

Tax Reporting Prep:

Gather executed documents needed for year-end reporting or 1099 requirements if applicable.

Retention and Archival:

Store executed copies according to your retention policies immediately after closing.

Common pitfalls when preparing the ASTSC Form

  • Mismatched names between ASTSC, deed, and ID causing title or recording delays and additional verification steps.
  • Omitted or incorrect legal descriptions that lead to recording rejection and require resubmission to the recorder's office.
  • Unsigned or partially signed pages discovered at closing causing funding holds and rescheduling of signings.
  • Missing exhibits or attachments such as surveys or disclosures that result in incomplete lender or title review.

Consequences of errors or omissions on the ASTSC Form

Delays in Closing: Extended settlement dates
Recording Refusal: Recorder may reject instrument
Title Defects: Clouds on title requiring cure
Tax Reporting Impact: Incorrect reporting obligations
Signature Invalidity: Signatures challenged or rejected
Privacy Exposure: Sensitive data breach risk
