What the Real Estate Coming Soon Form Is and When It’s Used

A Real Estate Coming Soon Form notifies listing services, brokers, and prospective buyers that a property will be offered for sale at a specified future date. It records core listing details—property address, expected market date, listing agent, and any temporary marketing restrictions—and sets expectations for showing and offer timing. The form is used to coordinate pre-marketing activities, ensure compliance with brokerage and MLS rules, and capture essential seller authorizations before the listing becomes active on the open market.

Why a Clear Coming Soon Form Matters for Transactions

A concise coming soon form reduces confusion, preserves required disclosures, and documents seller consent to pre-market activities, protecting agents and brokerages from compliance issues.

Why a Clear Coming Soon Form Matters for Transactions

Who Typically Completes and Relies on This Form

Smaller teams may use a simplified version while large brokerages often integrate the form into their listing workflow and document retention systems.

  • Listing agents and brokers who manage pre‑market activity and compliance
  • Property owners/sellers providing authorization and disclosures before listing activation
  • Brokerage compliance teams documenting timelines and MLS policy adherence

Core Sections to Include in a Professional Coming Soon Form

A complete form combines factual property data, seller authorizations, marketing restrictions, agent and brokerage contact details, planned go‑live dates, and signature blocks to ensure clarity and enforceability.

Property Details

Full street address, unit or lot number, legal description when available, and property type to precisely identify the listing.

Planned Dates

Expected on‑market date and any embargo or preview periods so marketing and MLS activation follow a documented schedule.

Seller Authorization

Explicit seller consent for pre‑marketing activities, photography, lockbox use, and showing windows to avoid later disputes.

Marketing Restrictions

Any limitations such as 'no photography', 'no open houses', or owner‑requested privacy to guide advertising and showings.

Agent & Broker Info

Listing agent name, license number, brokerage contact, and backup agent for chain‑of‑responsibility and compliance.

Signature Blocks

Signed and dated fields for seller(s) and agent(s), plus witness or notary areas if required by local rules.

Set Dates: Confirm expected on‑market date and any embargo period with seller.
  • 03

Typical Online Workflow Settings for Form Completion

Configure the digital workflow to enforce required fields, route approvals, and capture an audit trail for every signing event.

Field Configuration options and typical values for online setup
Required Fields Make address, expected date, and seller signature mandatory to prevent incomplete submissions
Routing Order Set agent then seller then brokerage compliance as sequential approvers for clear responsibility
Authentication Use email link or SMS code for signer verification; consider stronger methods for high‑risk listings
Audit Trail Enable IP, timestamp, and action logging to retain a reproducible record of signing events

How Digital Completion and Distribution Typically Flow

A standard eWorkflow moves from form creation through signer authentication to final storage with audit records retained for compliance.

  • Create Template: Upload form and place required fields for names, dates, and signatures.
  • Assign Signers: Add seller and agent email addresses and set signer order when needed.
  • Signer Authentication: Signer receives link, authenticates, reviews, and signs.
  • Store Results: Signed copy and audit trail are archived in the brokerage system.

Technical Considerations for eSubmission and Integrations

Ensure the platform captures a tamper‑evident audit trail and stores signed records according to brokerage retention rules.

  • File Formats: Support for PDF and DOCX is essential for preserving layout and signatures
  • Integrations: Look for connectors to CRM/MLS tools such as Salesforce, Microsoft 365, Google Workspace
  • Authentication Options: Email, SMS, and stronger methods such as KBA or SSO where required

Timing Considerations and Typical Deadlines

Track key dates on the form to align marketing, showings, and MLS activation with seller approvals and local rules.

Form Execution Date:

Date the seller signs; establishes authority for pre‑market actions

Planned On‑Market Date:

The date marketing and MLS posting may commence

Photography / Staging Window:

Dates when photos or virtual tours are permitted by seller

Offer Receipt Period:

If applicable, note when offers will be accepted relative to listing activation

Record Retention Start:

Record retention begins on execution date for compliance tracking

Delayed Sales: Market timing issues and lost offers
Evidence Gaps: Weak audit trail complicates dispute resolution
Notarization Failures: Possible invalidation where state law requires notarization

Common Preparation Errors to Avoid

  • Using inconsistent seller names that do not match government ID or title documents, which can delay closings
  • Failing to specify exact on‑market dates or using ambiguous phrases like 'soon', which complicates MLS compliance
  • Omitting marketing restrictions or showing instructions, resulting in unintended previews or privacy breaches
  • Not capturing an auditable signature trail, leaving agent and brokerage exposed in disputes

Practical Tips for Accurate and Efficient Completion

Adopt consistent templates, require mandatory fields, and verify signer identity to reduce errors and streamline workflows.

Standardize the Template
Use a single approved form across the brokerage to ensure consistency in required fields, language, and signature placement.
Require Key Fields
Make address, expected on‑market date, and seller signature mandatory to prevent incomplete submissions and compliance issues.
Capture an Audit Trail
Record IP addresses, timestamps, and signer authentication method to create an evidentiary record for disputes.
Store Centrally
Archive executed forms in a searchable broker system with retention metadata to simplify retrieval for audits.
