What the Real Estate Condo Package Contains

A Real Estate Condo Package is a coordinated set of documents used to sell, buy, or transfer ownership of a condominium unit in the United States. Typical contents include the condo purchase agreement, condominium addendum, HOA governing documents and rules, estoppel certificate, seller disclosure statements, closing statement and deed-ready forms. The package supports title review, lender underwriting, and HOA approval steps and is often assembled by broker, closing agent, or seller counsel. Electronic delivery and eSigning are generally accepted where permitted under ESIGN and applicable state law.

Why a Complete Package Matters for Condo Transactions

A complete Real Estate Condo Package streamlines underwriting, reduces closing delays, and clarifies HOA obligations and unit-specific conditions. Accurate, consistent documents limit post-closing disputes and help lenders and title companies assess risk and record clear title.

Why a Complete Package Matters for Condo Transactions

Who Typically Prepares and Reviews a Condo Package

Each party has a distinct role: sellers supply disclosures, associations provide certificates, and closing agents compile and record required forms.

  • Real estate agents and brokers who assemble disclosures and coordinate buyer and seller documents for closing.
  • Condominium association managers and HOA boards who provide governing documents, estoppel certificates, and rules.
  • Title companies and lenders who verify encumbrances, confirm insurance, and approve the package for underwriting.

Step-by-Step: How to Complete a Real Estate Condo Package

Complete the package in a standard order to avoid rework and satisfy lender and HOA workflow requirements.

  • 01
Assemble Documents: Collect purchase agreement, disclosures, HOA materials, and title information.
  • 02
Verify Parties: Confirm legal names, unit number, and contact details for all signers.
  • 03
Obtain HOA Items: Request estoppel, resale certificate, and governing documents from the association.
  • 04
Finalize for Closing: Add signatures, notarizations, and prepare recording-ready deed and settlement statement.

Core Components to Include in a Professional Condo Package

A well-formed package anticipates title and HOA needs so the transaction proceeds without administrative holds at closing.

Purchase Agreement

The signed contract between buyer and seller that sets purchase price, contingencies, deposit, and closing mechanics; foundation of the transaction and lender review.

Condo Addendum

Unit-specific terms for condominiums (common area access, assessments, and maintenance responsibilities) that modify the standard purchase agreement.

HOA Governing Docs

Declaration, bylaws, and rules that define assessment obligations, leasing restrictions, and association procedures relevant to buyer and lender acceptance.

Estoppel Certificate

A dated HOA-issued statement confirming assessments, outstanding balances, and rules compliance; lenders and title companies frequently require this document.

Seller Disclosures

Property condition statements, lead-based paint disclosures if applicable, and any state-required notices about material facts or hazards.

Closing Statement / Deed

Itemized settlement figures and the deed prepared for recording, with notarization and correct legal description for the unit and common elements.

Where the Condo Package Goes and How It’s Routed

Understanding routing helps ensure timely HOA approvals, title clearance, and lender sign-off before closing.

  • Provide to HOA: Send documents for estoppel and resale certificate issuance.
  • Title Company Review: Title searches and lien checks occur after receipt of package items.
  • Lender Underwriting: Lender verifies HOA documents and insurance requirements for loan approval.
  • Record at County: Recording-ready deed and settlement recorded post-closing with county clerk or recorder.

Digital Signing, Integrations, and Technical Considerations

Ensure the chosen eSignature workflow preserves audit trails, supports notarization or RON when required, and produces a tamper-evident signed PDF acceptable to title companies and registrars.

  • File Formats: PDF and DOCX are standard for title and HOA documents.
  • Integrations: Connectors include Salesforce, Microsoft 365, Google Workspace, NetSuite.
  • Authentication: Use email, SMS code, or stronger verification for lender requirements.

Typical Timelines and Deadlines in a Condo Transaction

Key timeframes depend on contract terms, mortgage underwriting, and HOA response times; plan for contingencies and recording windows.

Typically 7–15 calendar days for buyer inspections and repairs.

Financing Contingency:

Usually 21–30 days for loan approval, subject to lender conditions.

Common Preparation Errors to Avoid

  • Incomplete estoppel information that omits outstanding assessments or pending special assessments and delays lender approval.
  • Mismatched party names between deed, purchase agreement, and lender documents that require correction and re-execution.
  • Missing or improperly dated signatures and notarizations that render documents unacceptable for recording or title insurance.
  • Failure to deliver HOA-required insurance evidence, which can result in closing hold or lender condition.

How Real Parties Use a Condo Package in Practice

These condensed examples show typical scenarios and outcomes when the package is assembled correctly.

Broker-Facilitated Closing

A local broker assembles disclosures and HOA documents for a resale unit

  • Broker requests estoppel and sends package to title in one batch
  • The coordinated package cleared underwriting in five days, avoiding a delayed funding window and additional cost to the seller.

Lender Condition Fulfillment

A lender required HOA governance and insurance proof before funding

  • Borrower ordered estoppel and policy declaration promptly
  • Loan closed on the scheduled date once the association confirmed no outstanding assessments, preventing a funding hold.
