What the Real Estate Home Request Is

A Real Estate Home Request is a standardized written or electronic form used to request specific property-related actions or information from a listing party, homeowner, or managing agent. Common uses include requesting a showing, asking for disclosure documents, ordering property condition reports, or seeking permission for a tenant screening or appraisal. The form records the requester, the target property, the precise items or actions requested, desired scheduling windows, and contact details so recipients can respond, fulfill, or decline the request in a traceable manner.

Why a Clear Home Request Matters

A concise Real Estate Home Request reduces back-and-forth, creates an auditable record of the request and response, and helps align expectations for timing and deliverables. Clear requests support compliance with disclosure timelines and make it easier to resolve disputes about what was requested and when.

Why a Clear Home Request Matters

Who Typically Prepares and Receives This Request

Real estate agents, prospective buyers, property managers, lenders, title companies, and inspection vendors commonly create or respond to Home Requests.

  • Listing agents coordinating showings, disclosures, or seller responses to buyer inquiries.
  • Buyers or buyer agents requesting inspections, disclosures, or appointment times.
  • Property managers or tenants requesting maintenance-related access or documentation.

Roles vary by transaction stage; specify the recipient and role on the form so responsibilities and expected responses are clear.

Primary Signers and Their Roles

Buyer Agent

A licensed agent acting on a buyer's behalf who may submit requests for showings, inspections, or disclosures; must include client authorization and contact details to verify authority.

Homeowner

The property owner or authorized representative who reviews and responds to requests; response may be required under contract or local disclosure rules and should be logged with date and responder identity.

Core Elements of a Professional Home Request

A complete Real Estate Home Request combines identity, property details, a clear description of the request, scheduling constraints, attachments, and execution details so recipients can act without clarifying follow-ups.

Requester

Name, brokerage or company, phone, and email so the recipient can verify identity and follow up quickly; include license number if agent is representing a client.

Property Details

Full property address and parcel or MLS number where available; imprecise addresses cause delays and misdirected responses when title or records are checked.

Requested Action

Precise description of the request (e.g., 'access for home inspection', 'copy of seller property disclosure'); avoid vague language that could be misinterpreted.

Timing

Preferred dates and times, deadline for response, and any contingency windows tied to contract terms so scheduling and obligations are clear.

Attachments

Supporting documents such as authorization letters, proof of insurance, or inspection checklists that the recipient needs to act on the request.

Execution

Signature, printed name, date, and any required witness or notarization information so the request can be validated and retained.

Step-by-Step: Submitting a Home Request

Follow a simple sequence to create, send, confirm, and archive the request so responses are timely and documented.

  • 01
Draft Request: Complete form fields with exact property details and the action requested.
  • 02
Attach Documents: Include authorization, proof of insurance, or inspection checklists as needed.
  • 03
Send to Recipient: Deliver via email, secure portal, or eSignature platform with recipient contact.
  • 04
Record Response: Log acceptance, refusal, or scheduled appointment date and save the correspondence.

Recommended Digital Workflow Settings

When using an eSignature or document platform, configure fields and authentication to match the transaction’s risk level and legal requirements.

Field Configuration
Signature Field Require signer name and date; set required flag.
Authentication Level Choose email or SMS code for low risk; use KBA or two-factor for higher risk.
Attachments Allow attach-only or enforced uploads for supporting docs.
Audit Trail Enable full event logging and PDF certificate generation.

How Electronic Submission and Response Typically Work

Electronic workflows speed processing and create an auditable trail; follow these stages in a standard eSubmission.

  • Upload Document: Sender uploads the completed Home Request form to the platform.
  • Place Fields: Sender adds signature, date, and required data-entry fields.
  • Send to Signer: Platform sends secure email or link to the recipient.
  • Signer Completes: Recipient authenticates, signs, and returns the completed record.

Delivery Options and Integration Considerations

Choose distribution channels that match the recipient’s preferences and your recordkeeping requirements.

  • Email: Common for informal requests and initial contact.
  • eSignature Platform: Provides authentication, audit trail, and tamper-evident PDF.
  • Integration: Link to CRM or storage like Salesforce or Google Workspace for centralized records.

For transactions with higher evidentiary needs, prefer platforms that provide audit trails, optional two-factor authentication, and integration with your document management system.

Typical Timing and Response Expectations

Timelines vary by transaction phase and local practice; define response deadlines on the request itself to avoid ambiguity.

Initial Response:

Request a reply within 48–72 hours for scheduling or confirmation.

Showing Windows:

Propose at least two available dates within one week to facilitate scheduling.

Inspection Scheduling:

Allow 3–7 days lead time for inspectors and vendor availability.

Document Delivery:

Specify a deadline of 5–10 business days for disclosure or records.

Contingency Deadlines:

Tie response time to contractual contingency timelines where applicable.

Key Processing Milestones for a Home Request

Track the request through submission, review, scheduling, and closure to document compliance with deadlines and obligations.

01

Request Submitted

Sender records submission date and method for the request.

02

Recipient Review

Recipient verifies identity and available dates, then accepts or proposes alternatives.

03

Showing/Action Scheduled

Confirmed date/time entered and any access instructions are provided.

04

Follow-up Response

Completion notes, delivered documents, or denial reasons are logged and stored.

Common Mistakes to Avoid

  • Incomplete property details, such as omitting unit number or MLS ID, which causes misdirected requests and scheduling errors.
  • Failing to attach required authorizations or proof of insurance, delaying inspections or access to private records.
  • Using vague request language like 'need documents soon' instead of a specific deadline and list of required items.
  • Not recording the response method and time, leaving no clear audit trail to resolve disagreements about timing or consent.

Risks and Potential Consequences of Errors

Scheduling Delays: Lost appointment windows
Contract Impact: Missed contingency deadlines
Privacy Exposure: Improper sharing of PII
Financial Loss: Inspection or cancellation fees
Liability Claims: Unauthorized access disputes
Record Rejection: Invalid or unsigned submissions
