What the Real Estate House Purchase Statement Is

A Real Estate House Purchase Statement is a standardized document summarizing the material terms of a residential property sale: buyer and seller identities, property description, purchase price, deposit and financing terms, closing date, contingencies, prorations, and any seller disclosures. It is used to record agreed deal points prior to closing and to support title, escrow, mortgage, and tax reporting processes. The statement is often incorporated into or attached to a purchase agreement, provided to escrow/title companies, and retained by parties and their counsel for closing and post-closing audit purposes.

Why a Clear Purchase Statement Matters

A concise purchase statement reduces closing delays, clarifies obligations for escrow and title, and creates a single reference for prorations, financing contingencies, and post-closing reporting.

Why a Clear Purchase Statement Matters

Who typically prepares and relies on this statement

Accurate distribution and retention of the purchase statement reduces closing friction and supports downstream tasks such as title transfer, mortgage funding, and tax reporting.

  • Buyers and buyer brokers who need a concise record of price, deposit, financing, and contingency deadlines for loan applications and inspections.
  • Sellers and listing agents who must document disclosures, seller credits, and closing deliverables for escrow and title companies.
  • Escrow officers, title companies, and lenders that use the statement to compute prorations, confirm payoffs, and prepare closing statements.

Essential elements to include in a professional statement

A professional Real Estate House Purchase Statement lists the parties, property, key financial terms, important dates, contingencies, closing logistics, and attachments or disclosures to ensure all stakeholders work from the same facts.

Parties

Full legal names of buyer and seller as they should appear on title and mortgage documents.

Property

Street address, legal description, and parcel or tax ID to precisely identify the subject real estate.

Purchase Price

Agreed purchase price and allocation of deposits, earnest money, and seller credits.

Financing Terms

Type of financing, loan contingencies, appraisal obligations, and funding conditions.

Contingencies

Inspection, title, appraisal, and loan contingency deadlines and cure periods.

Closing Logistics

Proposed closing date, escrow contact, required deliverables, and allocation of closing costs.

Step-by-step: filling out the purchase statement

Follow these steps in order to prepare a statement that escrow, title, and lenders can rely on.

  • 01
Gather documents: Collect purchase agreement, seller disclosures, and title commitment.
  • 02
Enter basic data: Populate parties, property, and purchase price fields first.
  • 03
Add financing details: Record loan type, lender name, and contingency dates.
  • 04
Verify and distribute: Confirm with escrow/title and send final statement to all parties.

Configuring an online workflow for completion and review

Set up an electronic workflow that routes the statement to each signer, captures timestamps, and stores an audit trail for closing.

Field Configuration
Signer Order Set buyer then seller then escrow; enforces sequence.
Authentication Use email + SMS or ID verification for higher assurance.
Attachments Require purchase agreement and disclosures as mandatory uploads.
Notifications Enable reminders for outstanding signatures and pending deadlines.

How the electronically completed statement typically flows

This sequence describes a common routing pattern from draft to archived record when using an e-signature workflow.

  • Prepare document: Upload and place fields.
  • Route to buyer: Buyer reviews, signs, and returns.
  • Route to seller: Seller signs and verifies terms.
  • Send to escrow: Escrow/tile receives final copy and begins closing tasks.

Technical considerations for eSubmission and signing

Ensure the chosen platform supports legal e-signatures, audit trails, secure storage, and any industry-specific authentication required by lenders or regulators.

  • File formats: PDF and DOCX accepted
  • Integrations: Salesforce, Microsoft 365, NetSuite supported
  • Security: AES-256 at rest; TLS in transit

Common deadlines and processing expectations

Typical timelines are driven by contract terms, lender requirements, and local practice; allow buffer time for title, payoff, and recording.

Offer acceptance date:

Start point for contingency countdowns.

Inspection contingency:

Commonly 7–14 days from acceptance.

Loan contingency:

Often 21–30 days; verify lender timing.

Closing date:

Set by agreement; coordinate with escrow and lender.

Recording:

Recorder may delay 1–10 business days post-closing.

Key milestones from contract to recorded deed

Track these sequential milestones to ensure obligations are met and timelines align for funding and recording.

01

Contract Execution

Buyer and seller sign the purchase agreement and deposit earnest money.

02

Inspections and Repairs

Inspections occur; parties agree on repair credits or cures.

03

Loan Approval

Lender issues clear-to-close after underwriting and appraisal.

04

Closing and Recording

Documents signed, funds transferred, deed recorded with county recorder.

Critical data fields for accuracy and compliance

Buyer Identity: Full legal name
Seller Identity: Full legal or entity name
Property ID: Parcel or tax ID
Monetary Terms: Purchase price and deposits
Key Dates: Effective and closing dates
Signatures: Signed and dated by parties

Common mistakes that cause delays

  • Using informal or abbreviated legal names that mismatch title documents and IDs
  • Incorrect property legal description or omitted parcel/tax ID leading to title issues
  • Failing to attach required seller disclosures or addenda referenced in the purchase statement
  • Missing or inconsistent date formats that shift contingency deadlines

Risks and potential consequences of inaccurate statements

Title delays: Clouded transfer
Recording rejection: Incorrect deeds may be rejected
Closing postponement: Lender funding delayed
Tax reporting errors: Form 1099-S issues
Contract disputes: Buyer/seller disagreement
Financial penalties: Late payoff or escrow fees

Real-world examples showing how the statement is used

These short case sketches illustrate practical uses and outcomes when a clear purchase statement is prepared and shared with closing parties.

Optica Ventures

When preparing closings for investment properties we used the statement to consolidate terms and attach title notes.

  • Result: escrow processed faster by eliminating miscommunication.
  • The interface and organized summary saved time for counsel and escrow, allowing all parties to proceed to recording without multiple reconciliation rounds.

Martin Properties

A broker used the statement to confirm seller credits and post-inspection repairs before lender re-approval.

  • Result: lender issued clear-to-close within 72 hours.
  • Having a single authoritative statement reduced back-and-forth, prevented double-counting credits, and avoided a delayed closing that would have cost storage and moving penalties.

Practical tips for accurate and efficient completion

Follow these practices to minimize errors and speed the path to closing.

Work from the purchase agreement
Populate the purchase statement directly from the executed agreement to avoid transcription errors and ensure all referenced exhibits are attached.
Use standard date formats
Enter dates as MM/DD/YYYY and confirm timezone where timings matter for contingency cutoffs.
Confirm names with ID
Verify buyer and seller names against government ID and title records to prevent delays.
Distribute early
Send the completed statement to escrow, title, lender, and closing attorney immediately after execution to allow parallel processing.
