What the Real Estate IDX Form Is and why it matters

A Real Estate IDX Form documents authorization for an agent, broker, or website to display MLS listing data through an Internet Data Exchange (IDX) feed. It typically specifies which MLS fields may be used, display and attribution requirements, update frequency, permitted domains, data-subset scope, and duration. The form establishes data-use permissions between listing data providers and licensees and can be executed electronically where permitted by federal and state e-signature law such as the ESIGN Act (15 U.S.C. ch. 96) and state UETA statutes.

Why completing a clear IDX Form reduces operational risk

A precise IDX Form clarifies permitted uses of MLS data, preserves MLS and brokerage compliance, defines attribution rules, and reduces disputes about data accuracy and ownership. It also documents consent required for data sharing and supports enforceability when signed according to ESIGN and applicable state law.

Why completing a clear IDX Form reduces operational risk

Who typically completes and signs an IDX Form

The parties who prepare and sign IDX Forms vary by role and responsibility within brokerage technology and compliance teams.

  • Brokerage compliance officers and managing brokers who approve data distribution and accept MLS-related responsibilities.
  • Web developers or IT administrators who configure feeds, supply domain lists, and verify technical credentials.
  • MLS administrators or vendor representatives who review requests, enforce display rules, and enable feed access.

Understanding each role helps route the form correctly and reduces delays during MLS review and feed activation.

Core sections to include in a professional IDX Form

A complete IDX Form groups legal, technical, and operational terms so MLS staff and participating brokers can review and act quickly.

Authorization and Parties

Identify the brokerage, MLS, vendor, and authorized user accounts; state the parties by full legal name and their roles in the data sharing arrangement.

Data Scope

Define which listing fields and record types are included or excluded, whether sold data is shared, and any geographic or property-type limits on the feed.

Display and Attribution

Require the specific credit language, logo placement, and link-back rules mandated by the MLS or local association for public-facing listings.

Technical Feed Terms

Specify access credentials, API or RET protocol details, update frequency, acceptable error-handling, and allowed domains for data consumption.

Security and Compliance

Set requirements for secure transport, authentication, audit logging, and obligations following data incidents or misuse allegations.

Term, Termination and Remedies

State effective date, renewal or expiration terms, termination notice periods, and remedies for misuse or breach of the agreement.

Step-by-step: completing a Real Estate IDX Form

Follow these sequential steps to prepare and submit an IDX Form consistently and accurately.

  • 01
    1. Gather credentials: Collect MLS ID, broker license, and domain list before starting.
  • 02
    2. Review MLS rules: Check local MLS IDX display and attribution policies for mandatory language.
  • 03
    3. Configure feed: Provide technical details, update cadence, and authentication method.
  • 04
    4. Sign and submit: Execute the form electronically or on paper per MLS submission instructions.

How to set up the IDX feed workflow online

Configure the form and feed settings in a clear workflow so technical and compliance teams share the same configuration values.

Update frequency Daily or real-time push depending on MLS support
Access controls Authorized domains and role-based permissions
Audit logging Enable detailed logs and retention for compliance

Where the completed IDX Form goes and what happens next

  • Technical review: IT team verifies domain, feed settings, and authentication.
  • Approval by compliance: MLS confirms display language and attribution meet policy.
  • Feed activation: Listings publish to approved domains after final checks.

Technical and platform requirements for electronic submission

Ensure your signing platform supports secure signatures, audit trails, and the integrations your workflow needs.

  • Supported formats: PDF, DOCX, HTML

Common mistakes to avoid when preparing an IDX Form

  • Listing incomplete domain lists, which can delay or block feed activation and require amendments.
  • Using an informal or abbreviated broker name that does not match MLS records and causes verification failures.
  • Specifying vague data scope such as 'all listings' without identifying fields, leading to policy rejections.
  • Failing to collect or preserve the signed record and audit trail required for dispute resolution or audits.

Penalties and operational risks from incorrect or incomplete forms

MLS Sanctions: Fines or suspension possible
Feed Termination: Immediate revocation of access
Compliance Disputes: Enforcement actions or requirements to remediate
Data Inaccuracy: Consumer claims or liability exposure
Security Breach: Unauthorized exposure of listing data
Delayed Launch: Business impact and missed marketing windows
