What the Real Estate Processing Request Is

A Real Estate Processing Request is a standardized document used by brokers, lenders, title companies, and property managers to request transaction-related items needed to advance a closing. Typical uses include ordering title commitments, payoff statements, inspections, lien searches, surveys, and escrow instructions. The form clarifies deliverables, deadlines, and responsible parties, and when combined with compliant electronic signatures and secure transmission it creates an auditable record for closing and post-closing retention.

Why a Structured Request Matters for Closings

Using a Real Estate Processing Request reduces ambiguity, centralizes required documents, and documents responsibilities and deadlines. It supports compliance with recordkeeping rules, reduces delays at closing, and provides an auditable trail when paired with lawful electronic signature standards such as ESIGN and UETA.

Why a Structured Request Matters for Closings

Who Prepares and Responds to These Requests

Typical users include transaction coordinators, lenders, title officers, closing attorneys, escrow officers, and property managers.

  • Transaction coordinator — prepares consolidated request and tracks submissions across vendors.
  • Title officer — orders searches, provides title commitment, coordinates lien clearances and endorsements.
  • Lender or escrow officer — validates payoffs, escrow instructions, and required closing conditions.

The form can also be completed by brokers or their authorized agents when requesting third-party deliverables for a closing.

Key Sections to Include in a Professional Request

Core elements to include in a professional Real Estate Processing Request to ensure clarity, legal sufficiency, and smooth fulfillment across closing stakeholders.

Parties

List full legal names, roles, contact information, and authorized agents; indicate whether the signer acts individually or on behalf of an entity.

Property

Include full street address, legal description or parcel ID, county, and assessor information to avoid ambiguity in title and tax searches.

Deliverables

Specify exact documents or actions requested, acceptable formats, and any certification or notarization required for each deliverable.

Deadlines

Provide firm delivery dates with time zones, and state consequences for missed deadlines or late submissions.

Authorizations

Identify who can approve fees, accept conditions, and sign releases or escrow instructions on behalf of each party.

Audit Trail

Describe required audit evidence: signer identity, timestamps, IP addresses, and chain-of-custody for delivered files.

Security and Compliance Basics to Reference

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Authentication: Email, SMS OTP, SSO, or KBA options
Audit Trail: Timestamps, IPs, signer actions recorded
BAA Support: HIPAA compliance available with executed BAA
Certifications: SOC 2 Type II and ISO 27001 available
Access Controls: Role-based permissions and session timeouts

Consequences of Errors or Incomplete Requests

Delayed Closing: Missed deadlines may incur costs
Uncleared Liens: Title objections and coverage denial
Tax Withholding: Backup withholding if incorrect TIN
Invalid Signature: Challenge to enforceability possible
Notary Errors: Recording rejection or re-execution required
Regulatory Fines: State penalties for noncompliance

Common Pitfalls to Avoid

  • Incomplete or inconsistent party names, addresses, and parcel identifiers that cause delays and require reissuance or manual correction by title and escrow.
  • Vague deliverable descriptions that leave vendors unsure which report or certificate to provide, resulting in mismatched documents or additional requests.
  • Missing or ambiguous deadlines and time zones that cause vendors to miss required filing windows or slow down coordinated closings.
  • Failure to include authorization language for third-party release of records, causing privacy barriers or additional consent procedures.
