What the Real Estate Proposal and Floor Plans Include

The Real Estate Proposal and Floor Plans is a combined document package used to propose transaction terms and present architectural layouts for prospective buyers, tenants, lenders, or investors. It normally contains a written proposal that summarizes offer terms, pricing, contingencies, schedules, and responsibilities, plus attached scaled floor plans or site diagrams showing room dimensions, circulation, and key property features. Together these materials communicate scope and expectations before contract formation and preserve a clear record of representations about the property and proposed work.

Why this package matters for transactions

A clear Real Estate Proposal and Floor Plans helps avoid misunderstandings, supports faster decision making, and documents negotiated terms. When executed electronically in compliance with ESIGN and applicable state law, it creates a reproducible record suitable for interstate and intrastate transactions, subject to statutory exceptions.

Why this package matters for transactions

Primary users and stakeholders

Typical users include brokers, developers, architects, and property managers preparing offers and design exhibits for review.

  • Commercial brokers preparing tenant improvement proposals and lease exhibits for landlord review and negotiation.
  • Listing agents and home sellers packaging renovation-inclusive offers with floor plans to attract buyers and set expectations.
  • Architects, designers, and project managers attaching dimensioned layouts and scope summaries for client approval and permitting.

Multiple parties rely on the package for negotiation, due diligence, permitting, and as part of the transaction file once signed.

Core components to include in a professional package

A complete Real Estate Proposal and Floor Plans balances commercial terms with technical drawings so readers can assess value, risk, and feasibility quickly.

Cover Proposal

One-page executive summary stating the transaction purpose, parties, proposed consideration, and key timing so decision makers can review at a glance.

Offer Terms

Detailed pricing, deposit amounts, payment schedule, contingencies, renewal or extension options, and obligations that define the business deal in unambiguous terms.

Floor Plans

Scaled drawings showing room layout, entrances, egress, and any proposed changes; include scale bar, north arrow, and legend for clarity.

Room Dimensions

Clear dimension callouts and total square footage for each area, plus notes on measurement standards used (e.g., ANSI, landlord-provided).

Contingencies

Inspection, zoning, financing, and permitting conditions with deadlines and cure periods that control binding commitment timing.

Attachments

Supporting exhibits such as title commitments, survey excerpts, scope of work, and cost estimates referenced in the proposal text.

Step-by-step: preparing and finalizing the package

Follow these sequential steps to prepare, review, and execute a Real Estate Proposal and Floor Plans.

Draft proposal: Assemble terms, pricing, and contingencies in a clear written section.
  • 02
Attach floor plans: Include scaled drawings and dimension callouts as separate exhibits.
  • 03
Internal review: Route to legal, broker, and design reviewers for sign-off.
  • 04
Execute and deliver: Sign electronically or in-person, then distribute final copies to stakeholders.

Where to send the completed package

Distribution depends on the transaction stage—prospective reviewers first, then formal filing or escrow once accepted.

  • Prospective Buyer: Send the proposal and plans for review and feedback.
  • Listing Broker: Provide final exhibits to include in the marketing or contract file.
  • Title Company: Submit executed proposal and attachments for preliminary title checks.
  • Lender or Underwriter: Deliver executed documents to support loan underwriting if financing is involved.

Inspection Period:

Commonly 7–14 calendar days for property inspections.

Financing Contingency:

Often 21–30 calendar days to secure loan approval.

Common mistakes to avoid when preparing the package

Misrepresentation: Risk of rescission or damages
Missed Deadlines: Loss of contingency protections
Incorrect Notarization: Potential invalidation of deed or affidavit
Incomplete Disclosures: State penalties and buyer remedies

Contract Ambiguity: Increased litigation risk

Practical examples of use in real organizations

Real-world examples show how the package speeds review and preserves compliance in multi-party transactions.

Tim Martin — Martin Properties

Tim Martin used online proposal packages to accept offers remotely and process approvals faster for multiple properties.

  • The team combined scaled floor plans with a single-page terms sheet.
  • The result reduced turnaround time for signed proposals and kept a verifiable electronic record accessible to brokers, legal counsel, and lenders for closing.

Brian Fitzgibbons — Optica Ventures LLC

Optica Ventures standardized proposal templates with attached floor plans for tenant negotiations.
