Real-world Examples and Outcomes

Two customer scenarios show how clear confirmations reduce closing friction and support remote closings.

Martin Properties — Tim Martin, Founder

After adopting an online confirmation process, the team reduced turnaround times for closings.

  • Faster approvals from title and escrow allowed same-week settlements.
  • "I can process and execute all of these documents online with 100% compliance and built-in security. Whether on mobile or working offline, I can get forms back to their necessary parties efficiently."

Optica Ventures — Brian Fitzgibbons, COO

Streamlined confirmations improved buyer communication and reduced query cycles.

  • Fewer post-signature corrections reduced title exceptions.
  • "The interface is simple and easy-to-use for our team; more importantly, it is just as easy for our customers."

Practical Tips to Avoid Delays and Disputes

Adopt consistent controls and review steps to minimize common title and funding issues during closing.

Verify party identities before signing
Confirm names against government-issued IDs or corporate records and use multi-factor authentication when available to reduce impersonation and fraud risk.
Match property description to title report
Ensure the legal description and parcel identifiers exactly match the title commitment to avoid recording errors that can trigger post-closing corrections.
Use conditional fields for contingencies
Apply conditional logic in the form to surface contingency-specific deadlines and document attachments only when relevant, reducing user errors.
Provide clear closing and wire instructions
Include escrow contact, wire verification steps, and a call-back verification process to prevent wire fraud and funding delays.

Common Errors That Cause Delays

  • Using informal or abbreviated party names that do not match title documentation creates title exceptions and may require reexecution.
  • Entering incomplete legal descriptions or addresses that differ from the title report leads to recording rejections or corrections.
  • Failing to notarize when required causes the recorder to reject the deed or require late acknowledgements, delaying transfer.
  • Providing ambiguous wire instructions without verification increases the risk of wire fraud and can halt funding.
