What a Real Estate Walk Through Documents

A Real Estate Walk Through is a structured inspection record used before closing or move-in to document property condition, identify defects, and confirm contract compliance. It typically lists rooms and systems inspected, notes existing damage, records agreed repairs, and captures signatures and dates from buyer, seller, landlord, tenant, and agent. The Walk Through is not a transfer of title; it serves as contemporaneous evidence of condition and repair obligations. When executed electronically it may be preserved and reproduced under U.S. e-signature law.

Why the Walk Through Matters in Transactions

The Walk Through reduces post-closing disputes by creating a dated record of condition, clarifies repair responsibilities, and supports escrow or holdback decisions; it also streamlines move-in acceptance and insurance claims when accurate photos and signatures are included.

Why the Walk Through Matters in Transactions

Who typically completes a Real Estate Walk Through

The Walk Through is used by parties who need to confirm property condition and contract performance before closing or occupancy.

  • Real estate agents and listing brokers who document condition for buyer and seller records.
  • Buyers or tenants and their inspectors who note defects, appliances, and safety items.
  • Property managers and landlords who confirm move-in/out condition and repair lists.

Each participant signs to acknowledge findings; the signed record helps resolve later disputes and supports any claims for deductions or repairs.

Essential parts of a professional Walk Through

A complete Walk Through form groups observations, evidence, action items, and acknowledgments so all parties share the same baseline for condition and follow-up.

Property Details

Include full street address, unit number, parcel or MLS ID, and any access instructions so the record ties to the exact property and transaction.

Inspection Checklist

Structured room-by-room checklist for floors, walls, ceilings, windows, appliances, HVAC, plumbing, electrical, and exterior items to ensure consistent coverage.

Photographic Evidence

Photos or short video clips for each noted defect with timestamps and file names to support claims and reduce later disagreement.

Repairs & Remedies

Clear description of required repairs, responsible party, deadlines, and whether items will be repaired pre-closing, post-closing, or via escrow holdback.

Signature Blocks

Signed acknowledgment lines for buyer/tenant, seller/landlord, and agent with printed name, relationship, and date for attribution.

Distribution Log

Record of where completed copies were sent (agent, lender, escrow, property manager) and how (email, portal, paper).

Practical tips to improve Walk Through accuracy

Capture clear, well-lit photos for every item noted; include a wide shot and close-up for context.
Standardize checklist
Use a consistent, room-by-room template so inspections are comparable across properties and time.
Attach repair estimates
When possible, include vendor estimates to substantiate repair requests and escrow calculations.
Keep copies
Share signed copies with escrow, lender, and property manager for transparency and recordkeeping.

Typical timelines and deadlines for Walk Through activities

Timelines are often set by the purchase or lease agreement; observe contract deadlines for inspection, repair completion, and notice.

Pre-closing inspection window:

Usually 1–3 business days before closing per standard purchase contracts.

Move-in inspection:

Commonly scheduled on or just before the tenant’s lease start date.

Repair completion:

Contract will specify days to complete repairs after inspection.

Response to defect notice:

Sellers or managers often have 3–10 business days to acknowledge or dispute items.

Record retention start:

Retention begins on inspection date or on closing date, depending on contract terms.
