What a Real Estate Walk Thru Is and when it’s used

A Real Estate Walk Thru is a brief, typically final inspection of a property performed before closing or move-in to confirm condition, completed repairs, and included fixtures. It documents visible defects, punch-list items, and meter or appliance readings, and records who was present. The Walk Thru can be a standalone inspection form or part of closing paperwork; when executed electronically it becomes a record governed by ESIGN (15 U.S.C. ch. 96) and state electronic-signature law such as UETA.

Why a clear Walk Thru matters for closings

A complete Walk Thru reduces last-minute disputes, records agreed repairs or credits, and provides an evidentiary snapshot of property condition at transfer. Well-structured forms save time for agents, title companies, and buyers while clarifying post-closing responsibilities.

Why a clear Walk Thru matters for closings

Who typically completes and reviews a Walk Thru

The Walk Thru is used by transaction participants to confirm condition and document agreements before closing.

  • Buyer representative or buyer — Confirms repairs, documents deficiencies, and signs acceptance or holds back credits.
  • Seller or seller representative — Acknowledges condition, confirms completed repairs, and notes agreed remedies.
  • Listing and buyer agents — Coordinate timing, verify items, and distribute the completed form to title and lender.

Completed Walk Thru forms are commonly shared with title agents, lenders, and retained in transaction records for the statutory retention period.

Essential components of a professional Walk Thru

A professional Walk Thru combines location identifiers, a concise checklist, and clear signatory fields so the record is defensible and actionable.

Property ID

Full address and unit number plus MLS or file reference to tie the form to the transaction and closing file for future retrieval and audit.

Checklist

Room-by-room items with pass/fail or inspected status and space for brief notes to record visible defects, cleanliness, and installed fixtures.

Condition Notes

Structured fields for describing defects, repair status, or agreed credits; avoid vague phrases and use measurable descriptions.

Repairs & Credits

Clear fields for pledged repairs, completion dates, or agreed credit amounts; link credits to escrow instructions when required.

Signatures

Designated signature and date lines for buyer, seller, and agent with signer name and role printed for attribution and auditability.

Attachments

Photo slots, meter readings, and linked documents (invoices, repair receipts) to substantiate condition statements and repair completion.

Key data points the Walk Thru must capture

Property address: Street, city, state, ZIP
Walk Thru date: MM/DD/YYYY
Parties present: Buyer, seller, agent names
Inspector name: Individual who conducted check
Meter readings: Utilities where applicable
Photos attached: Yes/No with filenames

How to complete a Walk Thru, step by step

Follow a consistent sequence to capture condition, obtain acknowledgements, and distribute the record to stakeholders.

  • 01
Prepare the form: Attach address, contract reference, and any prior inspection reports.
  • 02
Conduct inspection: Walk each room, record status, and take photos of issues.
  • 03
Record remedies: List required repairs, completion dates, or credits.
  • 04
Sign and distribute: Collect signatures and send copies to title and lender.

Configure an online Walk Thru workflow

Set up template fields and routing so each party receives the form in the right order and attachments are preserved.

Field | Configuration Name | Value
Authentication method Email link | SMS OTP or stronger for high-value deals
Photo attachments Allow JPG/PNG with timestamp metadata
Conditional fields Show repair fields only when 'Needs Repair' selected
Notification routing Auto-send signed copy to title, lender, and listing agent

Digital signing and distribution essentials

Choose a platform that supports secure signatures, preserves attachments, and produces an audit trail.

  • File formats: PDF, DOCX supported
  • Integration: Works with Salesforce and Google Workspace
  • Audit data: Timestamps, IP, and signer info

Ensure the service you use stores tamper-evident PDFs and provides role-based access so title and compliance teams can retrieve transaction evidence.

Where to send the completed Walk Thru

A standard distribution sequence keeps the closing process aligned and preserves the record in transaction files.

  • Buyer file: Provide signed copy to buyer or buyer agent
  • Seller file: Provide signed copy to seller or their agent
  • Title company: Send signed Walk Thru to title for closing packet
  • Lender and escrow: Deliver to lender and escrow officer as required

Typical timing and deadlines for a Walk Thru

Timing affects remedies and escrow handling; standard windows limit ambiguity at closing.

Final Walk Thru window:

Usually completed 24–72 hours before closing

Repair completion deadline:

Set a concrete date or escrow hold until repairs done

Response timeframe:

Counterparty should acknowledge within 24–48 hours

Escrow hold release:

Release conditions tied to verified repair completion

Record retention:

File signed copy with closing documents immediately

Common mistakes to avoid when preparing a Walk Thru

  • Vague descriptions such as 'fix as needed' that leave scope open to dispute; use measurable defects and target dates.
  • Failing to attach photos or receipts that substantiate completed repairs, which weakens claims or escrow release arguments.
  • Allowing unsigned or partially signed copies to circulate; unsigned records lack attribution and can delay closing.
  • Not confirming identity or role of the signer (buyer vs agent), creating ambiguity about who accepted condition or credits.

Risks and possible consequences of an incorrect Walk Thru

Delayed closing: Closing may be postponed
Escrow disputes: Funds held until resolution
Repair liability: Disagreement over responsibility
Title issues: Unresolved defects affect transfer
Financial loss: Unrecovered repair costs
Reputational harm: Agent or broker credibility hit
