What a Relocation Request Letter Is and When to Use It

A Relocation Request Letter is a written statement from an employee asking their employer to approve a transfer or move of work location, job site, or residency for business reasons. It documents the employee's preferred effective date, destination address, justification (business need, family considerations, or personal circumstances), and any requested support such as moving allowances, temporary housing, or travel reimbursement. Employers typically use the letter to assess operational impact, budget, policy compliance, and any necessary approvals from HR, facilities, or legal teams before confirming the relocation.

Why a Clear, Complete Request Letter Matters

A concise Relocation Request Letter creates an auditable record of your request, clarifies what you need from the employer, and speeds internal review and decisions by HR and management.

Why a Clear, Complete Request Letter Matters

Who Prepares and Reviews Relocation Requests

Multiple stakeholders keep copies in personnel files to track approvals, reimbursements, and any tax or compliance follow-up.

  • Employee: Submits the request with dates, addresses, and supporting details for approval.
  • Human Resources: Verifies policy eligibility, payroll impact, and benefits implications.
  • Hiring / Facilities / Relocation Team: Coordinates logistics, approvals, and vendor services.

Core Elements to Include in Every Relocation Request Letter

A professional letter combines clear identification, a precise request, justification, timing, and a signature block so the employer can evaluate and record the request efficiently.

Employee Details

Full legal name, current job title, department, employee ID, and contact information for follow-up.

Current and New Location

Complete current address and proposed new address, including city, state, and ZIP, to assess commute and tax impact.

Requested Effective Date

Exact date (MM/DD/YYYY) you propose for transfer or relocation to allow scheduling and payroll changes.

Reason for Relocation

Concise explanation (business need, family reasons) and any supporting facts that justify the request.

Assistance Requested

Specify relocation allowance, temporary housing, travel reimbursement, or shipment of household goods.

Signature and Date

Employee signature, printed name, and signature date to document intent and authorization.

Step-by-Step: How to Complete and Submit Your Letter

Follow an ordered process to prepare, attach supporting documents, and send the request to the correct internal reviewers.

  • 01
Draft: Compose the letter with required fields and clear justification.
  • 02
Attach Documents: Include lease quotes, family documentation, or vendor estimates as applicable.
  • 03
Send to HR: Submit via company HR portal or HR email for routing and acknowledgement.
  • 04
Confirm Receipt: Request written confirmation of receipt and an estimated decision timeline.

How to Configure an Online Relocation Request Workflow

If using an eSignature platform or HR system, set required fields, routing, and authentication to match company policy.

Required Fields Employee name | address | date | assistance requested
Routing Rules HR → Manager → Relocation Coordinator
Attachments Allow PDF, DOCX uploads with size limits
Signer Authentication Email link or SMS code; stronger ID for approvals
Retention Settings Auto-save signed copy to personnel file

Where and How to Submit a Relocation Request

Choose the submission channel required by your employer to ensure the request enters the official approval workflow.

  • HR Portal: Submit through the company HR or self-service portal for automatic routing.
  • Email to HR: Send signed PDF to the designated HR inbox and request acknowledgment.
  • Manager Copy: Provide your direct manager with a copy for operational approval and scheduling.
  • eSignature Platform: Use an approved eSignature service to capture an auditable signed record.

Technical Considerations for Digital Submission and Signing

Verify that chosen platform meets your employer's compliance and retention policies before signing electronically.

  • File Formats: PDF, DOCX are commonly accepted
  • Authentication: Email link or SMS code are typical
  • Integrations: Connects with HRIS and document storage
