What a Remote Work Request Is

A Remote Work Request is a written employee submission asking an employer to permit work performed outside the employer’s physical workplace. It documents the employee’s proposed remote schedule, work location, equipment needs, and any cost or compliance impacts. Organizations use this request to evaluate eligibility, update payroll or tax status, and create or amend remote-work agreements or policies.

Why documenting remote work matters

A formal Remote Work Request creates a record of expectations, authorizations, and operational needs so both parties understand duties, liability, and administrative changes.

Why documenting remote work matters

Who completes and reviews a Remote Work Request

The completed request becomes part of the employee file and may trigger updates to payroll withholding, workers’ compensation coverage, and IT provisioning.

  • Employees: submit proposed schedule, home address, and equipment needs for manager evaluation.
  • Managers/HR: assess role suitability, coverage, and compliance with company remote-work policy.
  • Payroll/IT/Legal: review tax, equipment, security, and jurisdictional compliance before approval.

Core elements every professional Remote Work Request should include

A comprehensive request captures job details, schedule, precise remote address, equipment and expense arrangements, security requirements, and signature lines for all approving parties.

Employee Details

Full legal name, employee ID, job title, department, and current work location.

Remote Location

Street address, city, state, ZIP, and whether location is inside or outside the United States.

Schedule

Proposed remote days and hours, timezone, and on-site attendance expectations.

Equipment & Costs

Employer-owned versus employee-provided equipment, reimbursement requests, and cost approval.

Security & Compliance

Required VPN, device encryption, HIPAA or FERPA safeguards where applicable, and data-handling notes.

Signatures

Employee signature, manager approval, HR acknowledgement, and effective date.

Step-by-step: submitting a Remote Work Request

Follow these four steps to prepare and submit a complete request that HR and managers can process quickly.

  • 01
Prepare details: Gather address, schedule, equipment list, and justification.
  • 02
Complete form: Fill all fields, use MM/DD/YYYY for dates, and attach supporting documents.
  • 03
Manager review: Submit to your manager for operational assessment and initial approval.
  • 04
HR finalization: HR reviews compliance, updates payroll, and records final authorization.

Configuring online routing for the Remote Work Request

Typical digital workflows route the request from employee to manager to HR and optional specialists (IT/payroll) with conditional approvals.

Field Configuration
Initial Approver Direct manager
Secondary Review HR required
Optional Review IT or Legal if equipment or cross-state issues
Final Record HR stores signed copy in personnel file

Where to send the completed Remote Work Request

Choose the destination based on company policy: direct manager, HR inbox, or a designated workflow URL.

  • Manager Submission: Send to direct manager for operational approval first.
  • HR Repository: HR receives approved requests for payroll and file retention.
  • IT Service Desk: Route when equipment, VPN, or software provisioning is required.
  • Legal/Tax Team: Notify for multi-state work or employment-law issues.

Digital signature and submission considerations

Ensure the chosen platform complies with ESIGN/UETA and any applicable industry standards (HIPAA for healthcare-related duties).

  • Authentication: Email + SMS code is usually sufficient; use stronger methods for high-risk data.
  • File formats: PDF and DOCX are commonly supported for retention and audit.
  • Integrations: Connect with HRIS, payroll, and cloud storage systems for automation.

Timing and processing expectations

Establish clear internal deadlines for submission, review, and implementation to reduce ambiguity for payroll, tax, and scheduling changes.

Employee Submission Deadline:

Submit at least 30 days before proposed start

Manager Review Target:

Complete within 7 business days

HR Processing:

Complete payroll and benefits updates within 14 days

IT Provisioning:
