What a Repair Request Addendum Is and When it Applies

A Repair Request Addendum is a concise, written attachment to a lease, purchase contract, or property management agreement that documents requested repairs, agreed scope of work, costs, and completion timelines. It creates a discrete record that supplements the main agreement, defines who will perform and pay for repairs, and clarifies scheduling and access. Parties use it to avoid later disputes by recording approvals, change orders, or credit adjustments. When completed accurately and signed by authorized parties it becomes a binding modification of the underlying contract.

Why a Repair Request Addendum Matters

The addendum reduces ambiguity about repair responsibilities, provides an auditable record for approvals and billing, and supports faster resolution of tenant or buyer requests while preserving the original contract terms.

Why a Repair Request Addendum Matters

Typical Users and Parties Involved

The Repair Request Addendum is used by landlords, property managers, buyers, sellers, contractors, and tenants to document agreed repairs before or after closing.

  • Property managers and landlords who schedule, authorize, and track maintenance or tenant-requested repairs efficiently.
  • Buyers and sellers in real estate transactions documenting closing-condition repairs or negotiated credits tied to inspection results.
  • Contractors and service providers who need explicit scope, access instructions, and payment authorization to begin work.

Clear signatory records reduce disputes and support insurance, warranty, and accounting workflows when repairs are completed and invoices are submitted.

Core Sections to Include in a Professional Addendum

A complete Repair Request Addendum organizes responsibilities, scope, timing, cost, access, and signatures so all parties have the same expectations.

Parties

Identify each party by full legal name, role (landlord, tenant, buyer, seller), and contact information to ensure clear attribution and service of notices.

Scope

Describe repairs in measurable detail: item, location, materials, workmanship standard, and any reference drawings or photos attached as exhibits.

Cost

State who pays, the maximum agreed amount or allowance, whether receipts are required, and whether credit applies at closing or invoice payment.

Timeline

Specify start date, completion deadline, and remedies for delay including extensions, liquidated damages, or right to hire replacement contractors.

Access

Note access windows, required notices, security procedures, and any occupant protections for work performed in occupied units.

Signatures

Provide signature blocks, dates, and authority lines so the people signing have legal capacity and explicit authority for the party they represent.

Required Information at a Glance

Tenant/Buyer Name: Full legal name
Landlord/Seller Name: Full legal name
Property Address: Street, city, state, ZIP
Work Description: Concise repair summary
Estimated Cost: Dollar amount or allowance
Completion Date: MM/DD/YYYY

Step-by-Step: How to Complete and Execute the Addendum

Follow a consistent sequence to prepare, review, and finalize the repair addendum so parties have a clear record and timeline.

  • 01
Draft: Describe repairs, costs, and dates; attach photos or estimates.
  • 02
Review: Share the draft with the other party and any required vendor for confirmation.
  • 03
Sign: Obtain signatures from authorized representatives and date the document.
  • 04
Distribute: Send executed copies to all parties, contractors, and property management systems.

How to Configure a Digital Repair Addendum Workflow

Set clear fields, authentication, and routing to streamline approvals and preserve an audit trail when using electronic workflows.

Field Configuration
Signature Field Assign signer role and require date
Photo Attachment Allow image uploads and label attachments
Cost Field Use numeric format and optional formula validation
Routing Order Define signer sequence and notification triggers

Where to Send and How the Completed Addendum Flows

A well-defined routing plan ensures the executed addendum reaches property records, accounting, and contractors promptly.

  • Owner / Seller: Receives final executed copy for records
  • Property Manager: Adds to maintenance log and schedules work
  • Contractor: Receives scope, access details, and authorization to start
  • Accounting: Records agreed cost for invoicing or closing credit

Digital Delivery and Platform Considerations

Choose an eSignature workflow that supports field types, attachments, conditional routing, and a verifiable audit trail.

  • File Formats: PDF and DOCX supported
  • Integrations: Salesforce, NetSuite, or Google Workspace
  • Authentication: Email, SMS code, or stronger options

Platforms with audit trails and integrations protect records and reduce manual errors; choose options that meet your security and retention policies while enabling contractor access.

Typical Timelines and Processing Expectations

Establishing clear deadlines in the addendum prevents misunderstandings and supports coordination between parties and vendors.

Request Submission Deadline:

Date by which tenant or buyer must submit repair requests

Approval Window:

Number of days owner has to accept scope or propose modifications

Work Start Date:

Scheduled start MM/DD/YYYY or within X days after approval

Completion Deadline:

Final completion date and remedies for delay

Invoice Submission:

Contractor invoice due date for payment or closing credit

Common Mistakes to Avoid When Preparing the Addendum

  • Vague descriptions that leave scope open to interpretation cause disputes and billing disagreements later in the project lifecycle.
  • Missing or mismatched signer names and titles can invalidate approvals or delay payment processing and recordation.
  • Failing to attach vendor estimates, photos, or exhibits makes it difficult to verify work performance or invoice accuracy.
  • Not specifying access windows or occupant protections leads to missed appointments and safety or liability concerns.

Risks and Consequences of an Incorrect Addendum

Payment Disputes: Delayed or withheld payments
Contract Conflict: Underlying contract ambiguity
Enforceability: Invalid signature or authority
Regulatory Exposure: Code or safety violations
Closing Delays: Impacts real estate closings
Insurance Issues: Claim denials for undocumented work
