What the Research Sample Size Template Is and When to Use It

The Research Sample Size Template is a structured worksheet that helps researchers estimate how many observations, respondents, or experimental units are required to detect an effect with a chosen level of confidence and statistical power. It guides you to define population parameters, set a desired confidence level and margin of error, and document assumptions such as effect size and variability. The template centralizes inputs used in common formulas (z-score or t-based), records calculation steps, and produces a recommended sample size with notes on design trade-offs and practical constraints.

Why a Standard Template Matters for Research Accuracy

A consistent sample size template reduces design errors, documents key assumptions for peer review, and supports reproducible results. It ensures you explicitly link confidence level, margin of error, and power to the final sample size, helping teams plan budgets and timelines with clearer risk understanding.

Why a Standard Template Matters for Research Accuracy

Who Commonly Completes This Template

The template is useful across industries whenever a defensible, documented sample size is required for study planning or regulatory review.

  • Academic researchers and graduate students running hypothesis tests or power analyses for theses and publications.
  • Clinical research teams planning patient enrollment for trials or observational studies with HIPAA considerations.
  • Market research and product teams estimating respondent counts for surveys and A/B tests.

Core Elements Included in a Professional Sample Size Template

A complete template groups inputs, calculation method, outputs, caveats, and administrative fields so reviewers can validate assumptions without redoing work. The following components are standard.

Study identifier

Unique study title, protocol or project code, and short description to link the calculation to approvals and metadata.

Population definition

Clear description of the target population, inclusion/exclusion criteria, and sampling frame used to translate sample size into recruitment goals.

Statistical inputs

Fields for effect size, expected variance or proportion, desired confidence level, power, and directionality (one- or two-sided tests).

Calculation method

Selected formula or software method (z-test, t-test, proportion test, or simulation), plus any adjustments for clustering or design effect.

Output summary

Recommended nominal sample size, adjusted target accounting for attrition or nonresponse, and an explicit margin of error statement.

Assumptions & notes

Document rationale, sensitivity checks, version history, reviewer comments, and references to power analysis code or tools used.

Essential Fields to Complete on the Template

Study title: Full project name.
Principal investigator: Lead researcher name.
Target population: Defined population frame.
Effect size: Expected minimum difference.
Confidence level: Percent value (e.g., 95%).
Power target: Percent value (e.g., 80%).

Step-by-Step: Completing the Sample Size Template

Follow these steps in order to produce a defensible sample size estimate and record the rationale.

  • 01
    1. Define population: Describe target population and sampling frame.
  • 02
    2. Choose metrics: Specify outcome measure and expected effect size.
  • 03
    3. Set parameters: Enter confidence level, power, and margin of error.
  • 04
    4. Compute and adjust: Run calculation and add nonresponse or cluster adjustments.

How to Configure the Template for Online Use

When deploying the template in an electronic workflow, configure fields and logic to reduce manual errors and capture signatures.

Field Configuration
Effective Date MM/DD/YYYY mandatory
Calculation Method Dropdown: z,t,proportion,simulation
Auto-calc fields Enable formula fields for outputs
Signature Require signer name + date

Where to Send Completed Templates and How They Move Through Review

A typical routing moves the completed template from preparer to reviewer to approver with an audit trail for each step.

  • Preparation: Preparer fills inputs and runs calculation.
  • Peer review: Statistician or reviewer checks assumptions.
  • Approval: Authorized signatory signs and dates.
  • Archival: Store final file with audit trail.

Digital Signing and eSubmission Requirements

Choose a platform that integrates with your document management system and meets applicable compliance needs such as HIPAA when handling protected health information.

  • File formats: PDF and DOCX supported
  • Authentication: Email or SMS code
  • Audit trail: IP, timestamp logged

Comparing eSignature Vendors for Completing and Signing Templates

Practical Examples of Template Use Across Projects

Two concise case examples illustrate how a template documents assumptions and supports operational planning.

Academic study

A graduate researcher estimated sample size for a two-sample t-test using pilot variance

  • effect size chosen from prior literature
  • the template recorded assumptions, produced a recommended N, and was appended to the thesis submission.

Clinical enrollment

A clinical coordinator used the template to plan patient accrual and adjusted for 15% dropout

  • power set at 80%
  • the final recruitment target was documented in the IRB submission and monitoring reports.

Frequently Asked Questions and Common Issues

Common questions address input interpretation, rounding rules, and what to do when assumptions change during a study.
