What a Research Study Report Is and When It’s Used

A Research Study Report documents study objectives, methodology, results, analysis, and conclusions for a defined research project. It summarizes participant selection, data collection instruments, statistical methods, and key findings so stakeholders can assess validity and reproducibility. Reports often include an executive summary, detailed methods, results tables, discussion of limitations, and appendices with raw or de-identified data. Appropriate for IRB closure, funder deliverables, institutional records, or regulatory review, the report serves as the formal record of what the study did and what it found.

Why a Clear Research Study Report Matters

A complete Research Study Report preserves the study record, demonstrates regulatory and ethical compliance, and supports peer review or replication. It clarifies decisions made during the project and documents data provenance for audits or sponsors.

Why a Clear Research Study Report Matters

Who Prepares and Who Reviews These Reports

Distribution typically includes internal stakeholders and any external parties specified by sponsor agreements or regulatory requirements.

  • Principal investigators and co-investigators who led the study and are accountable for methods and results.
  • Institutional Review Boards (IRBs) and compliance staff who verify ethical approvals and participant protections.
  • Funders and sponsors who require final deliverables and documented outcomes for grant closeout.

Core Sections Every Professional Research Study Report Should Include

Structured sections improve clarity and make it easier to meet IRB, funder, and institutional expectations. Include narrative text plus numbered or labeled exhibits for attachments and raw data references.

Executive Summary

Concise overview of aims, primary outcomes, sample size, and practical implications. Helps nontechnical stakeholders quickly grasp core results and main conclusions.

Methods

Detailed description of design, inclusion/exclusion criteria, recruitment, instruments, and statistical approaches so reviewers can assess validity and reproducibility.

Results

Primary and secondary outcome data presented with tables, figures, and summary statistics; report the number analyzed and any deviations from planned analyses.

Discussion

Interpretation of findings, limitations, potential biases, comparison to prior work, and implications for practice or further research.

Appendices

Supporting documents such as consent forms, survey instruments, codebooks, raw or de-identified datasets, and IRB correspondence.

Authorship & Signatures

List of contributors, roles, and dated signatures or attestations confirming accuracy and that data handling complied with applicable policies.

Essential Compliance and Security Details to Record

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Timestamped logs and signer metadata required
HIPAA Status: HIPAA covered when PHI present; BAA required
Signature Law: ESIGN and UETA compliance documented
Certification: SOC 2 Type II and ISO 27001 available
Accessibility: WCAG 2.0 Level AA conformance noted

Step-by-Step: Preparing and Finalizing a Research Study Report

Follow these sequential steps to gather materials, verify compliance, and create a final signed report suitable for distribution and archiving.

  • 01
Collect Documents: Assemble consent forms, instruments, and IRB correspondence.
  • 02
Write Draft: Compose sections and prepare tables and figures.
  • 03
Review & Approve: Internal peer review and PI attestation.
  • 04
Sign and Archive: Execute approvals, apply signatures, and store records securely.

Setting Up an Electronic Workflow for the Report

Define routing, signer order, authentication, and archival steps before sending to ensure compliance with sponsor and institutional rules.

Field Configuration
Signer Order Define PI first, then co-investigators and compliance officer
Authentication Email link or SMS code for signer verification
Attachments Lock appendices once uploaded to prevent edits
Retention Route final PDF to secure archive with metadata

Typical Routing and Submission Flow

A clear flow minimizes signer confusion and speeds completion. Map roles and delivery endpoints before sending.

  • Upload Document: Prepare final PDF with numbered sections.
  • Place Fields: Add signature, date, and attestation fields.
  • Assign Signers: Enter signer emails and order.
  • Distribute Final: Send copies to archive and sponsor contacts.

Technical Considerations for eSubmission and Signing

Ensure the chosen platform supports audit trails, BAAs for HIPAA, and long-term storage export formats.

  • File Formats: PDF, DOCX, and CSV supported for attachments
  • Integrations: Connectors for Google Workspace, Box, and NetSuite
  • Security: Encryption at rest and in transit required

Typical Timelines and Date-Sensitive Deadlines

Apply deadlines for IRB reporting, funder reports, and tax or administrative submissions to avoid penalties and meet sponsor expectations.

IRB Continuing Review:

Annual or as-specified by IRB; follow IRB schedule

Final Report to Funder:

Per sponsor agreement; often within 30–90 days of completion

Data Retention Start:

Retention clock typically starts on effective or closure date

Tax Forms (if applicable):

1099-NEC due to recipient and IRS by Jan 31

Internal Record Requests:

Provide records per institutional policies within defined SLA

Common Mistakes When Preparing Research Study Reports

  • Incomplete methods or missing sample-size justification that prevents reproducibility or peer review.
  • Mismatched names or missing IRB approval numbers that delay administrative acceptance and sponsor sign-off.
  • Unclear data provenance or poorly labeled tables leading to misinterpretation and audit findings.
  • Failure to de-identify PHI in shared datasets, creating HIPAA compliance and privacy risks.

Key Risks and Potential Consequences of an Incorrect Report

Regulatory Delay: Sponsor or IRB may withhold approval
Data Breach: Fines and remediation costs
Loss of Funding: Sponsor may suspend disbursements
Tax Penalties: IRC §6721 penalties possible
Legal Exposure: Litigation risk for negligent reporting
Reputational Harm: Institutional and investigator credibility affected

Real-World Examples of Research Report Workflows

These short cases show how organizations used signed reports and electronic workflows to complete and archive study records efficiently.

Martin Properties

Tim Martin used online signing to process documents mobile and offline.

  • Implementation reduced turnaround time for field reports substantially.
  • The platform provided compliant signatures, reliable audit trails, and helped the team deliver reports to stakeholders without in-person meetings.

Fertility Centers of Illinois

John Butler described flexible integrations with their back-end systems.

  • Integration enabled automated linking of signed reports to patient records.
  • The approach improved staff efficiency, ensured consistent archiving, and maintained the privacy and security controls required for patient-related research.
